Front Desk Coordinator – Client Experience, Marketing, Sales & Administrative Support

Position Title: Front Desk Coordinator (Client Experience / Marketing / Sales / Administrative)

Reports To: Clinic Director

Employment Type: Full-Time or Part-Time (Hourly, Non-Exempt)

Preferred Candidates: Medical Assistants (MA) and Certified Nursing Assistants (CNA) located in or near Flowery Branch / Gainesville / Atlanta metro area

Role Summary

The Front Desk Coordinator is the first point of contact for clients at IV Nutrition – Flowery Branch and serves as a key ambassador of our wellness brand. This multi-faceted role combines exceptional client care and front-desk operations with proactive marketing, local business development, social media content creation, and light IT/administrative support. The ideal candidate thrives in a fast-paced wellness clinic environment, is passionate about health and customer experience, and can seamlessly support the Clinic Director while helping grow community partnerships and brand awareness.

Essential Functions Client Experience & Front Desk Operations
  • Greet and welcome every client with warmth, professionalism, and genuine care; create a spa-like, calming first impression.
  • Manage the full client journey: check-in/check-out, appointment scheduling and confirmations, payment processing, and follow-up.
  • Educate clients on IV Nutrition services, memberships, packages, and wellness benefits in a consultative, non-pressure manner.
  • Ensure clients feel cared for and comfortable throughout their visit under the direction of the Clinic Director.
  • Maintain a clean, organized, and inviting reception and waiting area.
Marketing, Sales & Community Partnerships
  • Proactively reach out to neighborhood businesses, medical offices, gyms, salons, corporate offices, and community organizations to build referral and partnership relationships.
  • Identify and support local events, wellness fairs, networking groups, and community activities that align with IV Nutrition's brand.
  • Assist with local marketing initiatives, promotional campaigns, and membership/package sales.
  • Track and report on outreach efforts and partnership outcomes.
Social Media & Content Creation
  • Create engaging social media content (photos, short videos, captions, stories) that highlights clinic life, client experiences (with consent), services, and wellness education.
  • Support consistent posting and community engagement on Instagram, Facebook, and other platforms used by the clinic.
  • Maintain brand voice and visual standards consistent with IV Nutrition.
Technology & Administrative Support
  • Maintain and troubleshoot clinic computer systems with particular proficiency in Mac and Apple devices (MacBooks, iPads, iPhones).
  • Support day-to-day administrative tasks including data entry, inventory logging, supply ordering coordination, filing, and general office operations.
  • Assist with EMR/scheduling software, client communications, and basic reporting.
  • Ensure technology (computers, printers, POS, Wi-Fi guest network) remains functional and user-friendly for staff and clients.
Team Collaboration
  • Work closely under the leadership and direction of the Clinic Director.
  • Support clinical staff and contribute to a positive, collaborative clinic culture.
  • Perform other duties as assigned to support clinic operations and growth.
Qualifications Preferred Education & Certifications
  • Medical Assistant (MA) certification or Certified Nursing Assistant (CNA) strongly preferred.
  • High school diploma or equivalent required; associate degree or related coursework a plus.
  • Current CPR/BLS certification preferred.
Skills & Abilities
  • Proven customer service excellence with a warm, professional, and caring demeanor.
  • Strong sales and relationship-building skills; comfortable initiating outreach to local businesses and community partners.
  • Hands-on experience creating social media content (Instagram/Facebook preferred) and basic photo/video editing.
  • Proficiency with Apple/Mac devices (macOS, iOS) and general computer systems; ability to perform basic troubleshooting and maintenance.
  • Excellent organizational, multitasking, and administrative skills.
  • Comfortable learning and using EMR/scheduling/POS systems.
  • Reliable transportation and ability to work on-site in Flowery Branch, GA.

Compensation & Schedule

This is an hourly, non-exempt position available as full-time or part-time. Final rate will be determined by experience, certifications, and availability.

Schedule will be set in coordination with the Clinic Director to support clinic operating hours and business needs. Flexible candidates preferred.
