Job description

Job Title: Project Administrator - Permitting

Location: Hamilton, NJ

POSITION DESCRIPTION

Alpha 3 is seeking an administrative professional to provide administrative and project support to engineering and project teams, with a focus on permitting coordination, documentation, scheduling, and communication. This role coordinates with internal teams, clients, subcontractors, and regulatory agencies to help keep projects organized and on schedule. This is a full-time position with a hybrid work schedule. Three days per week (typically Tuesday-Thursday) are expected to be in the office and two days per week from home. Preferred office location Hamilton, NJ.

RESPONSIBILITIES

  • Coordinate preparation and submission of permit packages, including drawings, specifications, and supporting documentation.
  • Track permit applications, approvals, comments, and deadlines; communicate status and potential delays to project management.
  • Coordinate with engineering, construction, regulatory, and project teams to ensure permit requirements are addressed.
  • Support permit closeout and maintain permitting logs, document registers, drawing lists, and project records.
  • Draft and edit correspondence and emails to clients, subcontractors, regulatory agencies, and other offices.
  • Prepare meeting notes and assist with project scheduling and coordination of engineering resources.
  • Assist with proposals, opportunities, bid schedules, invoices, expense reports, and project cost accounting.
  • Support office procedures, project management team, meetings, functions, and other administrative needs as required.

REQUIRED QUALIFICATIONS

  • Associate’s or Bachelor’s degree preferred.
  • 2+ years of experience in project administration, permitting, engineering, construction, or a related field preferred.
  • Strong organizational, communication, and time-management skills.
  • Detail-oriented with the ability to manage multiple projects and deadlines.
  • Proficient in Microsoft Office Suite.
  • Ability to work independently and effectively coordinate with multidisciplinary teams.

Salary will be determined based on the qualifications and experience of the applicant.
