Description
POSITION OVERVIEW:
The Major and Planned Giving Department Coordinator will primarily serve as a frontline donor service representative for Leadership Circle level ($1200 or more in annual giving) WETA donors. As a member of a team of skilled and experienced fundraisers, the Coordinator's role is to ensure positive and respectful engagements in writing and over the phone with WETA's generous and loyal donors. This position offers the opportunity to gain experience in knowledge of individual giving philanthropy, gift vehicles and excellence in donor services while impacting the important mission of public media.
The ideal candidate should always have a customer-centric and cheerful outlook while possessing high attention to detail, ability to multi-task and problem-solving skills. Staff are expected to work in the office at least two days a week and from home the remaining weekdays. Access to high-speed Internet in the home is required for this position.
PRIMARY RESPONSIBILITIES:
  • Donor Services

o Answer and respond appropriately to Leadership Circle Hotline calls and messages.
o Manage as first point of contact for reading, responding and directing donor emails to the LCircle@weta.org account.
o Acknowledge contributions as first contact to non-portfolio donors by phone and email.
o Record all donor interactions in donor database,
o Speak knowledgably about WETA and public media programs and services.
  • Donor Data Hygiene

o Update donor account information in database.
  • Returned mail and donor supplied changes.
  • Manage duplicate donor accounts.
  • Manage recognition listing and salutation information.
  • Electronic Donor Gift Information

o Identify wire and electronic gifts from bank reports.
o Process for internal use the post office box gift log and scans.
o Process reclass gift log for department.
  • Daytime and Evening Donor and Community Event Assistance
  • Perform related projects and other duties as assigned.

ADDITIONAL SKILLS AND QUALIFICATIONS:
Excellent verbal and written communications skills; excellent listening skills and ability to demonstrate compassion, professionalism, enthusiasm, and cheerfulness even with the most challenging donors.
Organized, detail-oriented self-starter who can work independently and as part of a team; ability to juggle multiple tasks and solve unanticipated problems quickly and efficiently.
Strong ability to multitask and change focus based on caller needs. Good time management skills. Can promptly respond to incoming emails and quickly resolve caller issues.
  • Knowledge of fundraising database technology and ability to apply it to fundraising development and operations support.
  • Experience with CRM systems such as ROI Solutions Revolution CRM, Engaging Networks or equivalent systems preferred.
  • Excellent time management and organizational skills.
  • Meticulous approach to work and keen eye for details.
  • Ability to interact with a wide variety of people using diplomacy, tact, and discretion.
  • Demonstrated ability to work effectively both independently and in a team environment.
  • Demonstrated ability to successfully perform duties in an atmosphere of multiple projects, shifting priorities, and deadline pressures.
  • Strong understanding and application of computer technology to efficiently accomplish work using Microsoft Office programs.
