Job description

Hull Lift Truck, Inc. is currently seeking a Payroll & Accounting Specialist at our Elkhart, IN corporate office. The Payroll & Accounting Specialist is responsible for the accurate and timely processing of multi-state payroll using ADP Workforce Now for approximately 200 employees. This position administers payroll, ensures compliance with payroll laws and tax regulations, prepares payroll accounting entries and reconciliations, serves as the primary contact with ADP on payroll matters, and provides backup support for Accounts Receivable and Accounts Payable functions.

Must be able to organize and prioritize the workload, meet deadlines, produce consistent, accurate results, and work effectively with minimal direction.

Primary Responsibilities:

  • Review, prepare, input, and reconcile bi-weekly payroll using ADP Workforce Now.
  • Serve as the primary administrator for ADP Workforce Now, including system maintenance, troubleshooting, and process improvements.
  • Review employee time records, payroll adjustments, deductions, and earnings prior to payroll processing.
  • Process employee payroll changes, including new hires, terminations, wage changes, transfers, status updates, and payroll deduction changes in coordination with Human Resources.
  • Process payroll-related benefit deductions, including medical, dental, vision, HSA, FSA, 401(k), and other authorized deductions based on information provided by Human Resources.
  • Process approved commissions, incentives, bonuses, and other supplemental earnings in accordance with company policies.
  • Maintain employee payroll records, tax withholding elections, direct deposit information, and payroll deductions.
  • Process garnishments, child support orders, tax levies, 401(k) deductions, and other payroll deductions.
  • Coordinate payroll funding, direct deposits, manual checks, and payroll adjustments.
  • Prepare payroll reports and complete year-end payroll processing, including W-2 reconciliation.
  • Ensure compliance with all federal, state, and local payroll regulations.
  • Support Accounts Receivable and Collections, including posting customer payments, processing ACH, wire and credit card receipts, researching payment discrepancies, and assisting with customer account inquiries.
  • Support Accounts Payable, including processing vendor invoices, reconciling vendor statements, matching purchase orders, and assisting with month-end close activities.
  • Provide support for other accounting functions, special projects, and administrative responsibilities as assigned.

Qualifications:

  • Minimum of 3-5 years of payroll processing experience.
  • Extensive experience with ADP Workforce Now Payroll required.
  • Multi-state payroll experience required.
  • Experience preparing payroll journal entries and reconciling payroll accounts.
  • General accounting knowledge, including Accounts Receivable and Accounts Payable.
  • Knowledge of Microsoft Excel, Word, and Outlook.
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Certified Payroll Professional (CPP) certification is a plus.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain strict confidentiality.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize multiple deadlines while working independently and as part of a team.
