Job description

Position Summary

The Payroll Specialist is accountable and responsible for all aspects of quality service for clients. Works with clients to obtain payroll information, processes payrolls, responds to/resolves client questions and problems and delivers outstanding customer service.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Maintaining a book of payroll clients of varying sizes, payroll frequencies and complexity
  • Contacting clients regularly to obtain payroll data, including new hire information, salary adjustments, special payments, employee deductions, and to set schedules
  • Accurately keying all payroll related data necessary to process and meet payroll deadlines and confirm accuracy using control totals
  • Polling electronic timeclocks, reviewing the downloaded information for completeness and accuracy, and uploading time data into the payroll system
  • Review payroll data submitted by clients remotely for completeness and accuracy to the extent possible
  • Processing and packing out payrolls for delivery to client
  • Uploading retirement plan contributions and/or workers comp data on behalf of the client
  • Maintaining a high rate of client retention through quality customer service
  • Keeping abreast of the payroll processing system and changes in wage and tax laws on behalf of our clients
  • Maintaining client files, binders and notes in the system
  • Researching and resolving client/system problems
  • Establishing and maintaining a positive working relationship with clients, agencies, and coworkers to promote a quality service image
  • Participating in and conducting training sessions
  • Performing other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • High school diploma or two or more years of office related experience or training; or equivalent combination of education and experience; college degree is highly preferred.
  • Basic understanding of payroll and payroll tax laws preferred
  • Proven facility in MS Office (particularly Excel and Word), MS Outlook, data entry and office equipment (e.g., telephone, head set, 10-key or calculator, computers, FAX machine, printer/copier)
  • Proven facility in customer service, and problem resolution
  • Excellent written, oral, and presentation communication skills
  • Excellent organizational, planning, and prioritization skills
  • Excellent interpersonal skills
