Job Summary:
The Payroll Specialist is responsible for supporting the Senior Payroll Accountant with payroll for multiple companies, pay groups, locations, and employee categories, including payroll processing, audits, data analysis, report preparation, system automation and administration, and payroll general ledger updates.
Key Responsibilities:
  • Supports the accurate, timely processing of weekly payroll for union and non-union employees in multiple locations.
  • Helps process certified payrolls and related reporting, tracking and managing Davis Bacon wage orders and prevailing wage laws.
  • Provides maintenance and updates to payroll software; enters new hires, employee status changes, and updates related to deductions, wage garnishments, and taxes.
  • Completes relevant quarterly, year-end, and other reporting.
  • Processes union paperwork and reports, ensuring compliance with all federal, state, and local regulations.
  • Stays current on changes to wage and hour law, prevailing wage requirements, and union agreements affecting payroll processing.
  • Processes off-cycle and manual check runs (terminations, corrections, retro pay) within required state timelines.
  • Assists with internal and external payroll audits, including workers compensation and union audits.
  • Maintains secure, accurate, and organized records and files, reporting discrepancies.
  • Meets deadlines and responds to time-sensitive matters accordingly.
  • Maintains the highest level of confidentiality and complies with company policies on ethical standards and business practices.
  • Processes / completes short-term projects, and other duties as assigned.

Qualifications:
  • Associate or bachelor's degree in accounting or finance preferred.
  • Strong math skills and oral and written communication.
  • Highly organized and detail-oriented with the ability to multi-task and meet hard deadlines.
  • Strong work ethic with integrity and commitment to compliance and team environment.

PREFERRED QUALIFICATIONS
  • 2+ years of experience processing union and non-union payroll and/or construction accounting.
  • Experience with certified payrolls, prevailing wage, union labor agreements, and federal, state, and local regulations.
  • General knowledge of payroll taxes.
  • Proficient in MS Office Suite, Vista / Viewpoint, and UKG knowledge.

PHYSICAL AND OTHER REQUIREMENTS
  • Work is performed indoors in a temperature-controlled environment.
  • Ability to sit, stand, walk, bend, frequently lift and/or move up to 10 lbs. and occasionally lift and/or move up to 20 lbs.
