Job Title: Payroll Manager
Location: Galleria Area, Houston, TX
Compensation: $115,000 - $125,000 annually

Job Summary
We are seeking an experienced Payroll Manager to oversee and manage all payroll operations for a multi-entity organization in the Galleria area. This role will be responsible for payroll administration, compliance, reporting, account reconciliations, retirement plan coordination, and payroll system management. The ideal candidate will have extensive experience with ADP Workforce Now, a strong background in multi-state payroll processing, and the ability to serve as a trusted advisor to leadership by communicating complex payroll matters clearly and effectively.
Key Responsibilities
Payroll Management
  • Manage end-to-end payroll operations for multiple entities and company codes
  • Oversee payroll processing to ensure accuracy, timeliness, and compliance with federal, state, and local regulations
  • Administer and maintain ADP Workforce Now across multiple company codes
  • Ensure payroll records are accurate, complete, and properly maintained
  • Review and approve payroll-related transactions including earnings, deductions, bonuses, commissions, and special payments
  • Manage payroll calendars and ensure all payroll deadlines are met

Compliance & Reporting
  • Ensure compliance with all payroll tax regulations and reporting requirements
  • Monitor and implement payroll-related legislative and regulatory changes
  • Prepare and review payroll reports for management and executive leadership
  • Support internal and external audits by providing payroll documentation and analysis
  • Maintain compliance with company policies and internal controls

Retirement & Deferred Compensation Administration
  • Oversee 401(k) plan administration and coordinate with third-party administrators (TPAs)
  • Manage payroll-related retirement plan deductions and reconciliations
  • Administer nonqualified deferred compensation plans, including 409A compliance requirements
  • Coordinate benefit-related payroll processes and reporting

Reconciliations & Accounting Support
  • Perform payroll account reconciliations and resolve discrepancies
  • Review payroll-related general ledger activity and support month-end close processes
  • Analyze payroll data and prepare reports for accounting and leadership teams
  • Ensure payroll liabilities are reconciled and remitted accurately

Leadership & Advisory Support
  • Serve as a payroll subject matter expert for management and executive leadership
  • Communicate complex payroll, tax, and compliance matters clearly to stakeholders
  • Recommend process improvements and system enhancements to increase efficiency and accuracy
  • Partner with HR, Accounting, Benefits, and external vendors to support payroll operations
  • Assist with special projects and strategic initiatives as assigned

Qualifications
  • 10+ years of progressive payroll experience required
  • Payroll management experience required
  • Extensive ADP Workforce Now experience required, including system administration across multiple company codes
  • Bachelor's degree in Accounting, Finance, Business, or related field required
  • Multi-entity and multi-state payroll experience required
  • Experience administering nonqualified deferred compensation plans (409A) required
  • 401(k) plan administration and TPA coordination experience required
  • Strong payroll reporting, analysis, and account reconciliation experience
  • CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) preferred
  • Strong knowledge of payroll tax regulations and compliance requirements
  • Excellent communication and presentation skills
  • Ability to advise leadership on payroll-related matters and communicate complex topics effectively
  • Strong analytical, organizational, and problem-solving abilities
  • High attention to detail and ability to manage multiple priorities
