Position Purpose:
Under the supervision of the Patient Services II Supervisor or Clinic Manager, the Patient Services Representative II (PSR II Lead) is responsible for supervising the daily activities of the medical reception staff. Utilizes established procedures to schedule patients and assist in providing care for patients as appropriate. Ensures efficient and effective work flow of patients during scheduled clinic hours through joint planning and problem solving with reception and clinic staff. Ability to keep several tasks moving along in a well organized manner while functioning at a high level of accuracy is critical.
Essential Functions:
  • Collaborates with immediate supervisor to establish, define and refine department goals and objectives consistent with Clinic's Mission and demonstrates satisfactory progress towards these goals and objectives.
  • Assist Operations with staff work schedules, handling time off requests, processing timesheets and monitoring absenteeism and tardiness. Work with Operations to ensure proper coverage in all departments.
  • Calculate individual patient charges for services; collect payment and/or explain payment process.
  • Record receipt of fees in practice management system.
  • Promotes a strong belief in Aviva Health's philosophy, purpose, mission and ideals.
  • Exhibits the ability to make effective decision based on verifiable and measurable data/criteria.
  • Promotes positive customer relations and service to both internal and external customers by providing excellent customer service to all patients in a non-discriminatory confidential, professional, friendly manner that builds dignity for each individual customer.
  • Respond to co-workers needs and requests in a respectful, friendly and prompt manner.
  • Ability to establish and maintain effective working relationships with patients and coworkers.
  • Displays a high level of initiative, effort and commitment towards completing assignments efficiently. Works with minimal supervision.
  • Check for errors in patient charts. Verify demographics and financial information including verifying continued eligibility with patients upon checking in. Updates patient charts and computer files.
  • Provide assistance to staff that may need additional training or coaching.
  • Implements departmental policies and educates staff and patients regarding the implications of the same.

Qualifications:
  • High school graduate or equivalent education.
  • Two year's clerical experience in a clinical or health care setting preferred. Must have familiarity with medical terminology and anatomy.
  • Demonstrated knowledge of office practices and procedures.
  • Demonstrates ability in the care and handling of patients in all groups, including but not limited to, consideration of the special needs and behaviors of each group.
  • Must be able to type 40 wpm.
  • Must possess a valid Oregon driver's license
