Payment Operations Specialist

We're looking for a detail-oriented Payment Operations Specialist to own payment-related workflows, manage billing exceptions, resolve payment disputes, and help improve our revenue operations.

What You'll Do
  • Manage payment disputes and chargeback cases from initial notification through resolution.
  • Gather documentation and prepare compelling evidence packages for payment processors and financial institutions.
  • Coordinate with Customer Support, Pharmacy, Clinical Operations, and Finance to resolve payment-related issues.
  • Investigate failed payments, duplicate charges, subscription billing issues, and refund requests.
  • Monitor payment activity to identify fraud trends or recurring operational issues.
  • Maintain accurate records of disputes, refunds, and payment resolutions.
  • Recommend process improvements that reduce chargebacks and improve payment success rates.
  • Help optimize internal payment workflows and operational efficiency.
Must-Haves
  • 2+ years of experience in Payment Operations, Billing Operations, Chargebacks, Risk Operations, or similar roles.
  • Experience managing payment disputes or chargebacks.
  • Experience with subscription or recurring billing models.
  • Strong analytical and problem-solving skills.
  • Excellent written communication skills.
  • Comfortable working with multiple systems simultaneously.
  • High attention to detail and strong organizational skills.
  • Ability to work independently in a fast-paced startup environment.
  • Professional English communication skills (written and spoken).
Nice-to-Haves
  • Experience with telehealth, healthcare, pharmacy, or healthtech companies.
  • Experience with Stripe, Authorize.net, Square, Braintree, or similar payment platforms.
  • Experience with CRM platforms such as HubSpot, Salesforce, or Zendesk.
  • Familiarity with fraud prevention tools.
  • Experience working with recurring subscription businesses.
Success in this Role
Within your first few months, you'll:
  • Own the payment dispute process end-to-end.
  • Improve chargeback response times.
  • Help reduce payment losses through stronger documentation and operational improvements.
  • Become a trusted partner for Customer Support, Finance, and Clinical Operations.
