Job Summary

The Admin Support is responsible for answering inbound calls in a professional manner. Greets all staff and visitors with exceptional customer service. The Admin Support is responsible for maintaining and organizing the reception area. 


Job Responsibilities

  • Answer and direct inbound calls to appropriate individuals or departments in a polite and professional manner.
  • Assist in the coordination and communication of Urban League events via email.
  • Welcome and register all visitors, ensuring they are directed to the appropriate party.
  • Assist with bulk mailings, including newsletters.
  • Receive, date stamp, and distribute incoming mail.
  • Manage and log incoming and outgoing packages.
  • Provide assistance to customers with necessary paperwork.
  • Maintain and organize the reception area to ensure a welcoming environment.
  • Distribute incoming mail to administrative staff daily.
  • Process outgoing mail daily.
  • Perform data entry tasks as assigned.
  • Provides administrative support to Executive Vice President and the Chief Executive Officer as needed. 
  • Responsible for data collection for program support as needed. 
  • Attend and support Urban League of Rochester events and fundraising functions. 
  • Support other duties as assigned by the supervisor.

Requirements

  • High School diploma or GED preferred.
  • At least one year of experience in telephone communication and keyboarding.
  • General office experience required; previous experience as a receptionist is desirable.
  • Proficiency in Microsoft Office Suite.
  • Strong customer service orientation.
  • Ability to work well with others and maintain a positive attitude.
  • Capability to handle stressful situations calmly and professionally.
  • Commitment to diversity, equity, and inclusion in the workplace.
  • Equivalent combinations of education and experience will be considered.


Work Environment

  • Casual business attire is required.
  • The role may require occasional evening or weekend work to support events.
