Job description

The Northern Illinois Conference of The United Methodist Church is seeking a Part-time District Administrative Assistant. This key role provides comprehensive administrative and secretarial support for district and conference initiatives, helping ensure smooth operations and effective coordination across a range of projects and responsibilities.

Essential Functions:

  • Provide direct administrative support to the District Superintendent.
  • Serve as the primary point of contact for pastors, lay leaders, and the public, responding to inquiries via phone, email, and written communication
  • Perform general clerical duties, including managing correspondence, scheduling, database administration, calendar coordination, and maintaining organized digital records 
  • Communicate with churches on behalf of the District Superintendent through phone, Zoom, and email
  • Maintain accurate and up-to-date database records for clergy, churches, and lay leadership within assigned districts
  • Coordinate district and conference events in collaboration with the Conference Event Planner and Communications staff, ensuring proper promotion and registration through the NIC calendar and e-news
  • Prepare and distribute conference forms and reports to local churches, encouraging timely completion
  • Provide ongoing support to district leadership through calendar management, resource coordination, correspondence, and collaboration with NIC Communications staff
  • Offer general administrative support, including office hospitality and ensuring smooth day-to-day operations.

Qualifications:

  • Associate’s degree in a relevant field required; Bachelor’s degree preferred
  • Minimum of 3 years of relevant experience required; with a strong emphasis on written communication
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) with the ability to effectively apply these tools to daily tasks
  • Demonstrated commitment to excellent customer service, with the ability to maintain confidentiality
  • Strong verbal and written communication skills, with the ability to clearly share information and support local church communities

Work Environment & Requirements

  • Compensation: $30 - $35 per hour
  • Benefits: Not applicable to part-time employees
  • 14 hours per week, flexible on-site scheduling options
