The Assistant Director of Graduate Admission is an on-campus position responsible for supporting recruitment, admission, marketing, communications, and event planning efforts for the Office of Graduate Admission. The Assistant Director will work closely with the Dean of Enrollment Management and Marketing, Director of Admission, graduate program directors, and marketing team to recruit and enroll talented graduate students in the College's master's and doctoral programs.
This position plays an important role in developing and implementing graduate recruitment strategies, managing admission communications, supporting the application and decision-making process, coordinating recruitment events, and strengthening relationships with prospective students and key campus constituents.
The successful candidate will be an organized, creative, and collaborative professional with strong communication skills and the ability to build meaningful relationships with prospective graduate students and individuals from diverse backgrounds.
Job Responsibilities Recruitment & Marketing
  • Develop and implement effective marketing and recruitment campaigns to attract qualified graduate students.
  • Create, write, edit, and coordinate email, print, digital, and other marketing communications for prospective graduate students and key influencers.
  • Work with marketing vendors on direct mail, digital marketing, and electronic marketing initiatives.
  • Create engaging and meaningful marketing and web content for graduate programs.
  • Help maintain accurate, effective, and engaging graduate program webpages.
  • Represent Saint Mary's College professionally within the academic community and with prospective graduate students, families, alumni, professional organizations, faculty, and staff.
  • Travel as needed to meet with prospective students and other key constituents and promote the College's graduate programs.
  • Stay informed about graduate enrollment trends, recruitment strategies, and emerging technologies.
Administrative & Collaboration
  • Manage the flow of information between the Office of Graduate Admission and graduate programs and departments.
  • Collaborate with the Director of Admission and graduate program directors to manage the application review and decision notification process.
  • Represent Graduate Admission on graduate program committees.
  • Collaborate with graduate program directors and campus departments to develop strategies to recruit and retain graduate students.
  • Utilize, interpret, and analyze enrollment and admission data to help determine the most effective use of resources.
  • Contribute to an enrollment management and team-based approach to addressing graduate recruitment and enrollment challenges.
  • Coordinate the implementation and effective use of emerging technologies related to graduate admission and recruitment.
  • May provide direction to student employees working with the Office of Graduate Admission.
  • Establish priorities, manage multiple projects, and meet deadlines in a fast-paced environment.
Event Planning & Implementation
  • Coordinate and manage campus visits and events for prospective graduate students.
  • Assist with planning and implementation of annual graduate admission events.
  • Support orientation programs, recruitment events, campus visits, and online webinars.
  • Work collaboratively with campus partners to ensure a positive and welcoming experience for prospective graduate students.
Minimum Qualifications
  • Bachelor's degree.
  • Professional experience in college admission, recruitment, marketing, communications, or a related field.
  • Recruitment experience in an admission office, preferably at the graduate level.
  • Experience developing and implementing communication and marketing initiatives.
  • Experience writing marketing emails and editing written communications and publications.
  • Experience utilizing traditional and digital marketing tools.
  • Excellent written, verbal, public speaking, interpersonal, and social communication skills.
  • Ability to establish rapport and build effective relationships with individuals from diverse backgrounds.
  • Ability to communicate effectively with prospective graduate students, applicants, alumni, faculty, students, and staff.
  • Strong organizational and time-management skills, with the ability to establish priorities and manage multiple responsibilities.
  • Ability to work independently and exercise sound reasoning and judgment.
  • Ability to collaborate effectively as part of a team and direct the work of others when appropriate.
  • Ability to analyze and interpret data and use information to support recruitment and enrollment strategies.
Preferred Qualifications
  • Master's degree.
  • Three or more years of experience in college admission, recruitment, marketing, or a related higher education setting, preferably graduate admission.
  • Spanish proficiency.
  • Experience with graduate admission and enrollment management.
  • Demonstrated ability to provide leadership and develop programs.
Schedule
Full-time, on-campus position. Schedule will be determined based on the operational needs of the Office of Graduate Admission and may include occasional evening and weekend hours, as well as travel, to support recruitment events, campus visits, webinars, and other admission activities.
Eligibility to Work: Applicants must be legally authorized to work in the United States at the time of hire and must not require visa sponsorship from the College, either now or in the future.
