Job description

Holy Spirit Catholic School in Brighton, MI, is seeking a welcoming, faith-filled, highly organized, part-time school administrative assistant with strong communication skills to support the principal in a variety of tasks in the areas of administration, admissions, fundraising, school culture, and student life. This position is non-exempt and reports to the school principal.
Principal Duties and Responsibilities.
  • Kindly greets and assists visitors to the school; controls access to the school building.
  • Oversees the timely opening and secure closing of the school office each day. Ensures all machines are off, doors and windows are locked, and lights turned off.
  • Provides information and assistance to school personnel, students, families, and the public in a variety of ways, requiring detailed knowledge of the school’s rules, procedures, policies, and activities.
  • Receives and places telephone calls and schedules appointments.
  • Manages online student information system (i.e., FACTS Management) and Brighton Shared Services database to maintain accurate records for students and professional staff.
  • Processes and maintains assigned operational and school office records, including, but not limited to, attendance, enrollment, health, lunch orders, student cumulative information, student ministry opportunities.
  • Keeps filing systems up to date, including student records and demographic information.
  • Assists families with the school application and enrollment processes, ensuring all necessary forms have been completed and submitted in a timely manner.
  • Assists students and administers student medications in accordance with school policy and maintains accurate medication logs and records.
  • Prepares and types letters, emails, forms, reports, bulletins, handbooks, questionnaires, and other documents.
  • Processes forms, applications, documents, records, and other documents in support of the school’s various functions and programs.
  • Oversees the inventory of office supplies and helps create a list of materials, supplies, or equipment for order as needed.
  • Collects, sorts, and distributes incoming mail and packages.
  • Prepares bulk mailings as needed.
  • Operates and coordinates maintenance for school and office equipment, including computers, printers, telephones, scanners.
  • Attends meetings as assigned.
  • Maintains confidentiality of all communications, records, and files.
  • Collaborates and communicates regularly with the school administrative assistant job-share partner.
  • Performs other duties as assigned.

Reports to: Principal
Compensation: Commensurate with experience and expertise.
Hours: This is a part-time position for 18-28 hours – two/three (alternating) days – per week, approximately 7:30 a.m. to 4:30 p.m. in the school office. The days of the week are flexible.
