Virtual Executive Assistant — Fitness & Wellness Company (Houston Area)

About the Role

Operation Get Fit is a growing fitness and wellness company looking for a Virtual Executive Assistant who is equal parts organized operator, marketing-savvy communicator, and dependable right-hand. This isn't a role for someone who only wants to check boxes; we're looking for someone who takes ownership, spots what needs to happen before being asked, and genuinely enjoys building something with a small, fast-moving team.

You'll work primarily behind the screen, managing calendars, coordinating our trainer team, keeping the business running smoothly, while also stepping in a few times a month to lend hands-on support at local events. If you thrive on variety, love a good system, and want your work to visibly move the needle for a business you care about, we want to hear from you.

Schedule: Daytime hours, 20–30 hrs/week

Location: Must reside in the Houston area (for occasional in-person event support)

Requirements: Reliable internet connection; proficiency with Microsoft Teams and Zoom

What You'll Do

Administrative & Operations

  • Manage scheduling, correspondence, and day-to-day administrative projects
  • Own and maintain team calendars across trainers and leadership
  • Support recruiting and onboarding of new team members
  • Prepare documents, manage data entry, and keep records accurate and current
  • Handle sensitive business and client information with discretion

Team & Trainer Support

  • Build strong working relationships with our trainer team
  • Coordinate trainer scheduling and support payroll processes

Client & Customer Experience

  • Serve as the first point of contact for client inquiries
  • Provide accurate information on our products and services
  • Troubleshoot and resolve service concerns with a calm, solutions-first approach

Marketing & Content

  • Develop and maintain a consistent social media presence (Facebook, Instagram, TikTok, YouTube)
  • Support or run light marketing campaigns across platforms
  • Create polished presentations and materials using Canva and Microsoft Office

Events & Virtual Meetings

  • Manage Zoom/Teams meetings and webinars: scheduling, reporting, and recording edits
  • Assist with planning and coordinating special events, virtual and in-person
  • Provide on-the-ground support at Houston-area events as needed

What You Bring

  • Proven experience as an Executive Assistant, Administrative Assistant, or Virtual Assistant, ideally in a remote capacity
  • Strong command of Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools
  • Excellent organizational skills with the ability to juggle priorities independently
  • Sharp attention to detail and a high bar for accurate, polished work
  • Confident written and verbal communicator
