Job Title: Receptionist
Job Description
This role serves as the primary point of contact for clients, visitors, and employees in a fast-paced, AI-focused financial services environment. The Receptionist creates a polished first impression, supports day-to-day office operations, and ensures the front desk and common areas run smoothly. This is a part-time, fully onsite position ideal for a junior-level professional with strong customer service skills and prior corporate office experience.
Responsibilities
  • Greet and welcome clients, visitors, and employees in a professional and friendly manner, ensuring a polished first impression at all times.
  • Assist visitors with check-in procedures and help them get situated in the office, including directing them to meeting rooms and key contacts.
  • Manage light administrative tasks such as printing, organizing materials, and preparing basic documents as needed.
  • Support overall office upkeep by restocking supplies, maintaining tidy common areas, and performing light tasks such as wiping down whiteboards.
  • Coordinate office needs, including ordering office supplies and assisting with arrangements for catered lunches and meetings.
  • Monitor and respond to communications across Outlook, Slack, and Microsoft Teams, ensuring timely and professional responses.
  • Provide general support by troubleshooting minor office issues and coordinating with building management when necessary.
  • Assist with occasional incoming phone calls, route calls appropriately, and respond to inquiries with professionalism and clarity.
  • Represent the organization as the first point of contact for guests, maintaining a calm, composed, and service-oriented demeanor.
  • Collaborate with internal teams to ensure smooth day-to-day office operations and support ad hoc tasks as requested.
Essential Skills
  • At least 1+ year of experience in a receptionist role or similar position within a corporate office environment.
  • Prior experience interacting with both clients and internal employees in a professional setting.
  • Strong customer service skills and the ability to create a welcoming, polished first impression.
  • Professional, corporate-ready demeanor and presentation, with strong interpersonal skills.
  • Comfort working in an office environment with frequent in-person interaction and a steady flow of visitors and employees.
  • Demonstrated comfort representing an organization as the first face guests see.
  • Bachelor's degree (BA).
  • Experience providing front desk support and administrative assistance in a busy office setting.

The environment is busy and collaborative, with approximately 230 employees per floor and peak in-office days on Tuesday and Wednesday. Office amenities include an onsite terrace and cafeteria, contributing to a comfortable and engaging workplace. The role requires a professional, corporate-ready appearance and demeanor, as you will serve as the first point of contact for visitors and employees in a high-profile, client-facing setting. The position is initially needed for at least the next three months, with potential for extension or transition to a longer-term opportunity based on performance and business needs.
