Sales Assistant - Full Time We're looking for a Sales Assistant to join our team in a full-time role with a rotating weekend schedule. This position is ideal for someone who enjoys connecting with people, staying organized, and contributing to a positive experience for prospective residents and their families. General Purpose/Summary Statement The Sales Assistant plays a critical role in supporting community occupancy budget goals by coordinating an exceptional move-in experience, supporting relationship-based sales efforts, and serving as a liaison between prospective residents, families, and internal departments. This position ensures operational excellence in move-ins while assisting the sales team in tours, CRM management, and community marketing activities. Benefits Include:

  • Support achievement of community occupancy budget goals on a monthly basis through proactive coordination, follow-up, and relationship-driven service.
  • Provide warm, relationship-based customer service to prospective residents, adult children, families, and referral partners in alignment with organizational mission and values.
  • Be fully trained and prepared to conduct community tours, receive and organize deposits, and support sales activities as needed.
  • Enter, track, and maintain prospect records in the CRM system; create call-back tasks and appointments for the Director of Sales & Marketing.
Move-In Coordination
  • Assist in the coordination of all move-ins at the community following all pre-move-in and move-in procedures.
  • Support DSM as the liaison between residents, families, and community departments to ensure apartments, services, and hospitality are fully prepared on move-in day.
  • Assemble move-in binders and develop/complete new resident files.
  • Assist the DSM in facilitating completion and submission of move-in paperwork prior to move-in.
  • Provide or assist in coordinating new resident orientation following agreement signing.
Occupancy Reporting & Communication
  • Report move-in progress during daily stand-up meetings and weekly sales meetings in the absence of the DSM.
  • Produce and maintain daily occupancy reports, weekly tracking, and monthly summaries using designated formats and systems in the absence of the DSM.
  • Communicate daily with the Community Leadership Team regarding sales activity, move-ins, and apartment readiness.
Marketing & Administrative Support
  • Maintain inventory of marketing brochures, promotional materials, and move-in supplies.
  • Assist with promotional events, outreach activities, and email or mail campaigns as directed.
  • Maintain apartment readiness records and coordinate with internal departments to support timely move-ins.
Culinary Support (Bethesda Standard)
  • Ensure adequate daily coverage for meal service by communicating with the Culinary Services Director and/or Host/Hostess, including taking resident meal orders, providing beverage refills per resident or guest request, and assisting with cleaning, resetting, and preparation of the dining room between meal periods.
Professional Responsibilities
  • Attend all required training sessions, sales meetings, in-service meetings, and general team meetings.
  • Maintain confidentiality of resident information and uphold residents' rights at all times.
  • Perform other duties as assigned by the Director of Sales & Marketing.
Managerial Breadth/Scope of Job There is no direct supervisory responsibility. However, the Sales Assistant must work closely with other department leaders to ensure an easy transition of all move-ins and tour schedules. Knowledge/Skills/Abilities

  • Must maintain a current driver's license and comply with all requirements of our Auto Policy.
Education/Experience Education: High School graduate or equivalent. College coursework preferred. Experience: Senior living or healthcare experience preferred but not required. Working Environment/Physical Requirements Position may require driving to outside referral sources' offices during all seasons of the year. Ability to lift 10-pounds frequently. Position requires sitting, driving, walking, and standing for long periods of time based on activity being performed. Bethesda Senior Living Communities reserves the right to pay a wage/salary that is lower or higher than the above posted compensation range.
