Part-Time Remote Legal Administrative Assistant


Hours: Approximately 20 hours per week
Location: Remote

About Us

We are a growing Ohio-based law firm that represents businesses, entrepreneurs, property owners, churches, and other organizations in a wide range of legal matters. Our core practice includes business and corporate law, contracts, entity structuring, general counsel services, and strategic legal support for growing companies.

The firm is also expanding its property insurance claims practice, where we represent homeowners, businesses, churches, and other property owners in connection with storm damage, roof-related claims, and other property insurance matters.

We are looking for a highly organized, detail-oriented remote Legal Administrative Assistant to help manage the administrative backend of these matters and keep files moving efficiently. This role will initially focus heavily on insurance-claim-related files, but may also involve administrative support for business, corporate, and general firm matters as the role develops.

This is not a legal advice role. The position is focused on file management, scheduling, document collection, client/contractor coordination, matter tracking, and follow-up under attorney supervision.


Responsibilities May Include

  • Opening new matters in the firm’s case management system and internal tracking system.
  • Preparing and sending engagement letters using approved templates.
  • Following up with clients regarding signed engagement letters, claim documents, policies, photos, estimates, denial letters, and other required materials.
  • Scheduling inspections, calls, and follow-ups with clients, contractors, consultants, adjusters, appraisers, or other involved parties.
  • Maintaining an accurate matter tracker showing the current status of each file, next steps, responsible person, and upcoming deadlines.
  • Monitoring files to make sure matters do not stall or fall through the cracks.
  • Sending approved template-based emails and status updates.
  • Organizing matter documents in the firm’s file system.
  • Preparing weekly reports identifying active files, missing items, upcoming deadlines, and matters requiring attorney attention.
  • Assisting with assembling documents for claim review, appraisal requests, demand letters, or other attorney-reviewed materials.
  • Communicating professionally and clearly with clients and third parties regarding scheduling, document collection, and administrative updates.
  • Following firm procedures regarding confidentiality, file organization, client communications, and data security.


What This Role Does Not Include

This role does not involve providing legal advice, making legal decisions, negotiating claims, evaluating coverage positions, or independently communicating legal positions on behalf of clients. All legal work and substantive communications will be performed or reviewed by an attorney.


Required Qualifications

  • Prior experience in a law firm, insurance office, claims-related office, restoration/roofing administrative role, or other deadline-driven professional setting.
  • Strong organizational skills and attention to detail.
  • Excellent written communication.
  • Ability to manage multiple files at once.
  • Comfort working remotely and independently.
  • Reliable availability during Eastern Time business hours.
  • Ability to follow checklists, templates, and written procedures.
  • Professional judgment and discretion with confidential information.
  • Reliable internet connection and a quiet workspace.


Preferred Qualifications

  • Experience with property insurance claims, storm damage claims, roofing/restoration claims, or legal intake.
  • Experience using Clio, Lawmatics, Google Drive, Microsoft Office, Adobe Acrobat, DocuSign, or similar tools.
  • Experience working with attorneys, paralegals, insurance adjusters, contractors, or property owners.
  • Familiarity with matter tracking systems, spreadsheets, CRMs, or project management tools.


Ideal Candidate

The ideal candidate is someone who likes creating order out of chaos. You do not need to be an attorney, but you do need to be responsible, organized, responsive, and comfortable making sure important details are not missed.

You should be the type of person who naturally asks: What is the next step? Who is responsible for it? When is it due? What is missing? Has the client been updated? Is this file stuck?

We are looking for someone who can help create a reliable system so that every file is organized, every deadline is tracked, and every matter continues moving forward.


Schedule

This is a remote part-time position of approximately 20 hours per week. The schedule can be somewhat flexible, but the candidate must be available for regular communication during Eastern Time business hours.


Compensation

Compensation is expected to be in the range of $22–$32/hour, depending on experience. Higher compensation may be considered for candidates with strong law firm, insurance claims, or restoration-claims experience.
