Job description

The Part-Time/Casual Payroll Specialist is responsible for timely and accurate payroll processing and maintaining payroll records for assigned clients. Other responsibilities include compliance with wage and hour laws, payroll tax analysis, compiling data for reporting and audits, and managing employee payroll inquiries. This role requires hands-on experience with the UKG Ready software version and familiarity with Paycom, ADP, or other payroll systems is a strong plus.

This position is ideal for payroll professionals seeking work-life balance with a flexible schedule to include some work during normal business hours. This is a remote position with 10-15 hours per week scheduled to start and the possibility of increasing to 20-25 hours per week based on client needs and job performance.

Job Qualifications

  • Minimum 3 years of payroll processing experience, preferably in small to mid-sized organizations (10 to 250 employees).
  • Direct experience with UKG Ready; knowledge of Paycom, ADP, or similar payroll systems is preferred.
  • Solid understanding of payroll practices, tax reporting, wage and hour compliance, and payroll accounting.
  • Attention to detail and strong organizational skills.
  • Proficient with Microsoft Office Suite (Excel, Word, Outlook).
  • Strong communication and problem-solving abilities.
  • Benefits administration experience is a plus.
  • Associate’s degree in accounting, Human Resources, or related field preferred; equivalent experience considered. Payroll certification of FCP or CPP is preferred.

Primary Job Responsibilities

  • Process and review payroll and time records for accuracy and compliance with wage and hour laws and company policies.
  • Maintain employee records to accurately reflect new hires, terminations, salary and other data changes as requested by the client.
  • Maintain employee records for tax withholding, direct deposit, and other changes requested by employees.
  • Update employee records to include garnishments, child support, tax levies, and other required deductions as well as deductions for insurance benefits, retirement plan contributions, and other voluntary deductions.
  • Process expense reimbursements, bonus and commission payments and other payments requested by the client.
  • Generate payroll reports for management and finance.
  • Manage retirement plan contribution reporting and other post-payroll steps.
  • Coordinate system changes and inquiries with the UKG customer service representative.
  • Ensure compliance with federal, state, and local wage and hour laws.
  • Respond timely to client and employee inquiries regarding payroll, timekeeping, and deductions.
  • Support workers compensation, retirement plan, and financial audits and reporting requirements as needed.
  • Collaborate with HR and Finance teams to ensure accurate and consistent data.
  • Maintain confidentiality of sensitive employee and company payroll information.

Physical Demands

  • Prolonged periods working on a computer.
  • Occasional lifting of files or office supplies (up to 10 pounds).
  • Ability to sit for extended periods while performing data entry and reporting tasks.

  • Strong knowledge of payroll practices, compliance, and tax requirements.
  • Proficiency with UKG Ready and working knowledge of Paycom, ADP, or other payroll systems.
  • Analytical skills for auditing and reconciling payroll records.
  • Ability to prioritize and manage multiple tasks with accuracy.
  • Excellent interpersonal and communication skills.
  • Ability to handle sensitive and confidential information with integrity.

Compensation is commensurate with experience level and generally has an initial base pay range between $28 and $34 per hour.
