The Lee Group is hiring an experienced Administrative Assistant for a part-time, in-office opportunity in Newport News, VA. Candidates must type at least 65 WPM with minimal errors and be experienced and comfortable with over-the-shoulder dictation. These are key requirements for this position.

Schedule: Monday - Friday, approximately 9:00am - 3:00pm or 10:00am - 4:00pm

The Lee Group is looking for an experienced Administrative Assistant to join one of our valued clients in Newport News, VA. Our client is a long-established, stable real estate investment company with a friendly, collaborative office environment.

This position will primarily support a senior executive while also providing administrative assistance to three additional executives. The ideal candidate is an exceptionally organized, detail-oriented professional who can keep a busy executive on track, handle changing priorities and produce accurate, polished work.

A major part of the role involves taking over-the-shoulder dictation for emails, letters, memos, contract provisions and other documents, so candidates should genuinely enjoy this style of working. Strong typing, proofreading, editing and written communication skills are essential.
For someone who enjoys variety, takes pride in being helpful and likes learning new things, this position offers the opportunity to grow into more advanced responsibilities involving commercial leases and real estate transactions.

Job Responsibilities of Administrative Assistant
  • Take over-the-shoulder dictation for emails, letters, memos, contract provisions and other business documents.
  • Help keep a senior executive organized and on track throughout the workday.
  • Handle and organize incoming phone calls, emails, correspondence and requests.
  • Create, organize and maintain files and business records.
  • Maintain Excel-based data lists, calendars and other administrative information.
  • Edit and proofread documents for accuracy, completeness, grammar and formatting.
  • Provide administrative support to three additional executives while effectively balancing priorities.
  • Prepare commercial leases and related documents using established templates as responsibilities expand.
  • Communicate with employees, tenants, leasing agents, attorneys, paralegals, vendors and other outside contacts.
  • Assist with tenant communications, including providing information and occasionally coordinating maintenance requests.
  • Support real estate transactions involving purchases, sales and financing, including contract preparation, negotiations, closings and post-closing administrative activities.
  • Perform other administrative duties and special projects as assigned.
Job Qualifications of Administrative Assistant
  • Must type at least 65 WPM with minimal errors.
  • Must be experienced and comfortable with over-the-shoulder dictation.
  • Five years of similar administrative or executive support experience preferred.
  • Bachelor's degree preferred, but not required.
  • Strong writing, editing and proofreading abilities.
  • Excellent organizational skills and exceptional attention to detail.
  • Strong computer and general IT skills.
  • Experience maintaining information and lists in Microsoft Excel.
  • Ability to follow direction while also taking initiative and anticipating needs.
  • Strong interpersonal and communication skills.
  • Ability to ask thoughtful questions to ensure assignments and expectations are clearly understood.
  • Ability to manage changing priorities and remain flexible when the workday changes unexpectedly.
  • Comfortable balancing support for multiple executives.
  • Professional and effective when communicating with tenants, leasing agents, attorneys, paralegals, vendors and other business contacts.
