The Program Assistant will provide administrative and organizational support during one of the busiest times of the year. This role will assist with grant administration, applicant communications, database management, reporting, and special projects while helping ensure programs run smoothly from application review through grant distribution.
Responsibilities:
  • Provide administrative support for the Centennial Center grant, award, and professional development program
  • Organize and track grant applications throughout the review and selection process
  • Process grant and award documentation and assist with grant disbursements
  • Respond to applicant and member inquiries while directing more complex questions to the appropriate team members
  • Coordinate communications with applicants, grantees, committee members, and internal departments
  • Maintain databases, grant tracking systems, and organizational records with a high level of accuracy
  • Assist with CRM data cleanup and preparation for an upcoming database migration
  • Research prospective partners and donor information while supporting grant writing and reporting initiatives
  • Help coordinate committee meetings, small events, and travel logistics when needed
  • Update website content, promotional materials, and program communications
  • Support reporting projects and other administrative initiatives as assigned
Qualifications:
  • Bachelor's degree required; Political Science, Public Policy, Communications, Data Science, Nonprofit Management, or a related field preferred
  • Approximately one year of professional administrative, program support, project coordination, nonprofit, association, or higher education experience preferred
  • Excellent verbal and written communication skills with a strong customer service mindset
  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities
  • Comfortable learning new systems and troubleshooting questions by collaborating with teammates
  • Strong problem-solving skills with the ability to work independently and proactively
  • Proficient in Microsoft Office, especially Excel
  • Experience with CRM systems, database management, Adobe Acrobat, WordPress, content management systems (CMS), or basic HTML is a plus
