Job description

Job Title: Program cooridnator
Job Status: Part time, .50 FTE, Non-exempt
SUMMARY
This position performs administrative duties for the Academic Division to provide efficient operations and represent programs in a professional manner. This is a 0.5 FTE position, but the expectation is approximately 22-24 hours weekly during the academic year with time off in the summer.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Program Support
  • Plan and arrange events for the Henry Institute and the Pre-Law Program (including events incorporated within the Henry Semester program).
  • Manage internal and external correspondence for the Henry Institute and the Pre-Law Program.
  • Manage and maintain websites for the Henry Institute and the Pre-Law Program.
  • Oversee social media presence for the Henry Institute and the Pre-Law Program.
  • Assist Henry Semester students in finding and preparing for internships and manage internship supervision documents.
  • Interact with alumni, donors, and guests.

Administrative Support
  • Assist the Henry Institute Director and the Pre-Law Program Director in administrative tasks, including maintaining budgetary records and processing invoices in WorkDay and assisting with scheduling.
  • Hire and manage qualified student workers for the Henry Institute through Calvin Workday.
  • Work with the Office of Scholarships & Financial Aid to manage the application, awards, and donor follow-up processes for Henry Semester scholarships and Pre-Law scholarships.
  • Maintain the Pre-Law library by monitoring inventory and coordinating acquisitions.
  • Maintain data files for the Henry Institute and the Pre-Law program (including internship data for the Henry Semester program)

SUPERVISORY RESPONSIBILITIES
This position may supervise one or more student assistants.
QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE
  • A bachelor's degree plus 1-3 years professional experience or an equivalent combination of education and experience required.
  • Knowledge of computers and related software required.
  • Supervisory experience and experience in academic administration helpful.
  • An interest in the intersections of politics, economics, law, and Christian faith preferred.

COMMUNICATION SKILLS
  • Ability to greet visitors, to answer questions about curricular and co-curricular programs at Calvin University, and to communicate tactfully with students, faculty, and alumni.
  • Ability to draft and proofread correspondence for spelling, grammar, and content errors.
  • Ability to maintain confidentiality of information.

SKILL REQUIREMENTS
  • Exceptional oral and written communication skills.
  • Technically savvy, with excellence in database and spreadsheet management as well as understanding/interest in website management/social media.
  • Proven capacity and bandwidth for office work, strong initiative to anticipate needs and stay current in a fast-paced, changing environment.
  • Knowledge of co-curricular student social culture, experiential education, student development and the student collegiate experience.
  • Vision for continuous improvement to streamline department workflow and improve workplace efficiencies.
  • Resiliency and flexibility to meet the demands of two different supervisors and programs.
