About the Role
We are seeking a dependable, organized, and service-oriented Office Coordinator to support the day-to-day operations of our office. This person will help create a clean, welcoming, and well-stocked workplace by managing office supplies, maintaining the kitchen and pantry, coordinating food orders, handling mail, supporting vendor relationships, and assisting with general office duties. The ideal candidate is proactive, detail-oriented, and comfortable balancing multiple priorities in a fast-paced environment.
What You Will Do
Office Operations
  • Maintain the overall organization, cleanliness, and readiness of shared office spaces
  • Perform routine office walkthroughs to identify supply, pantry, or facility needs
  • Support daily office operations and respond quickly to administrative requests
  • Assist with basic office projects and other duties as assigned

Kitchen and Pantry Management
  • Keep the kitchen, pantry, and break areas stocked, clean, and organized
  • Monitor inventory levels for snacks, beverages, coffee, paper goods, and other kitchen essentials
  • Restock supplies throughout the day as needed
  • Coordinate pantry organization and ensure items are stored appropriately
  • Help maintain a welcoming and functional common area for employees and guests

Food Ordering and Coordination
  • Order lunch and catering for meetings, team events, and office gatherings
  • Coordinate food deliveries and set up as needed
  • Track food order details, timing, and special requests
  • Communicate with internal teams to confirm headcount, budget, and timing

Supply and Inventory Management
  • Order office supplies and maintain appropriate inventory levels
  • Research products, compare pricing, and place orders with approved vendors
  • Track deliveries and ensure supplies are received and put away promptly

Vendor Management
  • Serve as a point of contact for office-related vendors and service providers
  • Coordinate deliveries, pickups, and service visits
  • Help maintain positive vendor relationships and resolve routine issues
  • Track recurring office needs and communicate updates as needed

Mail and Administrative Support
  • Collect, sort, and distribute incoming mail and packages
  • Prepare outgoing mail and shipments
  • Support basic administrative and clerical tasks such as filing, scanning, scheduling support, and document organization
  • Assist with other general office duties to ensure smooth daily operations
Location & Schedule
This is an on-site role based out of our Chicago office three days a week - Tuesday, Wednesday, and Thursday. There will be times (company events, etc.) that call for additional hours, and we ask that you're able to accommodate that when needed.

Compensation

This role is non-exempt and eligible for overtime pay in accordance with applicable wage and hour laws.
