Job description

Perform a variety of routine to moderately difficult administrative, office support and customer service duties to ensure the workflow within an operations center which may include management, driver support staff, drivers, maintenance staff and associated customer(s).
Responsibilities:
  • Provide administrative support to an operation, including but not limited to answering phones, sorting mail, ordering and maintaining supply inventories and maintaining dispatch, payroll and billing information.
  • Monitor and provide timely and accurate updates to various software programs for driver dispatch, maintenance and driver payroll and billing in a timely and accurate manner assuring deadlines are met.
  • Provide customer service support for drivers, maintenance staff, customers, vendors and operations support staff.
  • Provide assistance and support in basic dispatch responsibilities including dispatch set-up, preparing pre-trip load and driver documents, driver and customer communication, updating dispatch records, processing and maintaining post-trip documents. Properly use the Ruan transportation management systems to ensure all required operational data is accurately captured in a near real-time manner.
  • Process and audit safety related items such as driver logs and driver vehicle inspection reports to assure compliance with company and DOT regulations.
  • Record and maintain data related to operational performance such as trips, driver pay, miles, stops, fuel, and loads.
  • Perform other job-related duties and special projects as requested.

This is a part-time position working onsite in Ankeny, IA.
Schedule: Monday - Friday from 0730-1130
Job Requirements/Minimum Qualifications:
Education: High School Diploma/GED required or equivalent work experience.
Experience: 1-2 years of experience in clerical, transportation, payroll or related experiences.
  • Must have excellent computer skills and proficiency in Microsoft Office Suite along with the ability to become proficient in multiple systems.
  • Strong ability to multi-task in a fast paced environment and take direction from multiple operational leaders.
  • Excellent written and verbal communication skills required.
  • Proven ability to independently process, analyze and report data.
