Part-time Office Assistant
About the Role
The Part-Time Office Assistant keeps the daily rhythm of the Bonneville Communications Corporation (BCC) office running smoothly. This is a hands-on, task-oriented role focused on the recurring activities that make our workplace welcoming, functional, and well-maintained - from coordinating catering and resetting conference rooms to keeping the kitchen stocked and supporting employee events.
Beyond daily execution, you will be cross-trained to provide backup support across several key operational areas - including building access, shared equipment, employee records, and expense submittals - so the office services function runs seamlessly even during busy periods. You will also be made aware of company vehicle procedures, building safety protocols, and vendor contacts so you can maintain continuity when the Office Coordinator is out.
You will work alongside a full-time Office Coordinator who owns the broader office operations. Your role is to execute daily and weekly tasks that support those operations, following established procedures and checklists.
What You Will Do
Catering & Food Service
  • Place and coordinate catering orders for meetings and events.
  • Receive deliveries, set up food and beverages, and break down afterward.

Event Support
  • Provide day-of support for employee events - room setup, signage, materials preparation, and breakdown.

Space Scheduling & Room Readiness
  • Manage conference room bookings and scheduling.
  • Reset and prepare conference rooms between meetings, including AV setup and supplies.

Office Environment & Tidiness
  • Maintain cleanliness and organization of common areas and shared spaces.
  • Restock and maintain the employee kitchen - food, beverages, dishes, and appliances.
  • Restock bathroom supplies.
  • Help keep office supply areas stocked and organized as needed.

Furniture & Equipment Moves
  • Assist with furniture moves, equipment relocations, and workspace reconfigurations as needed.

Employee Onboarding Support
  • Provide new hires with an office tour and orientation to office etiquette and shared spaces.
  • Assist with new hire and employee data entry and record updates as directed.

Employee Engagement & Recognition
  • Post employee birthday recognitions.
  • Assist with gift card purchasing and employee recognition coordination as needed.

Operational Support (Trained Backup)
  • Support building and parking access requests - trained to process building IDs, parking tags, and transit passes as needed.
  • Assist with Gear Locker tasks - equipment check-in/check-out and scheduling as needed.
  • Submit expenses as directed, following established procedures.

Cross-Training & Awareness
  • Trained on the basics of company vehicle scheduling, building safety protocols, and vendor contacts and procedures. Not responsible for managing these areas day-to-day, but informed enough to maintain continuity during the Coordinator's absence.

General Support
  • Run errands as needed - supply pickups, deliveries, and other tasks as directed.
  • Support the Office Coordinator during peak periods.
  • Follow established SOPs and checklists; flag issues to the Coordinator.

Required:
  • High school diploma or equivalent experience

  • Willingness to learn new processes and serve as backup across multiple operational areas
  • Basic proficiency with Microsoft Office (Outlook, Word, Excel)
  • Ability to lift and move supplies and furniture up to 30 pounds

Preferred:
  • Previous experience in an office, retail, hospitality, or customer service environment
  • Experience with catering coordination or food service
  • Comfort with data entry and maintaining records or spreadsheets
  • Familiarity with conference room AV equipment
  • Experience handling expense submissions or purchase tracking

Working Conditions
  • Part-time, up to 28 hours per week.
  • In-office position; schedule determined with hiring manager.
  • May require lifting and moving of office supplies and furniture up to 30 pounds.
