Job description
Job Summary
The Events Coordinator will schedule, plan, and produce events for the Museum, including scheduling, room setup/breakdown, and audio-visual (AV) support from August through April.
Department Specific Responsibilities
- Setup rooms, including arranging tables, chairs, and other furniture according to event type.
- Escort vendors, performers, and other service providers behind the scenes.
- Set-up, test, and run audiovisual equipment.
- Monitor events and record attendance numbers.
- Breakdown rooms, including returning furniture and supplies to storage, and ensuring the venue's cleanliness and integrity.
- Communicate with internal and external clients about their event needs.
- Schedule event spaces via a shared Outlook calendar.
- Coordinate with caterers, performers, and other external service providers.
- Coordinate with other museum departments, including security.
- Create "run of show" documents to summarize plans.
- Report program attendance using Excel.
- Organize and inventory supplies for events.
- Assess and communicate maintenance needs.
- Support other Education Department programs as needed, such as helping manage large groups of visitors.
EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED)
