Job description

Since its establishment in 1941, the Sidney and Lois Eskenazi Museum of Art at Indiana University (IU) has grown from a small university teaching collection into one of the foremost university art museums in the country. A preeminent teaching museum, its internationally acclaimed collection includes more than 47,000 objects representing nearly every art-producing culture throughout history. Collection areas include African art, ancient art, Asian art, global contemporary art, European and American Art, Indigenous art, Oceanic art, and prints, drawings, and photography.
Job Summary
The Events Coordinator will schedule, plan, and produce events for the Museum, including scheduling, room setup/breakdown, and audio-visual (AV) support from August through April.
Department Specific Responsibilities
  • Setup rooms, including arranging tables, chairs, and other furniture according to event type.
  • Escort vendors, performers, and other service providers behind the scenes.
  • Set-up, test, and run audiovisual equipment.
  • Monitor events and record attendance numbers.
  • Breakdown rooms, including returning furniture and supplies to storage, and ensuring the venue's cleanliness and integrity.
  • Communicate with internal and external clients about their event needs.
  • Schedule event spaces via a shared Outlook calendar.
  • Coordinate with caterers, performers, and other external service providers.
  • Coordinate with other museum departments, including security.
  • Create "run of show" documents to summarize plans.
  • Report program attendance using Excel.
  • Organize and inventory supplies for events.
  • Assess and communicate maintenance needs.
  • Support other Education Department programs as needed, such as helping manage large groups of visitors.
Qualifications
EDUCATION
Required
  • High school diploma or equivalent (such as HSED or GED)
WORK EXPERIENCE
Required
  • 2 years of inventory, customer service, or other relevant experience
SKILLS
Required
  • Ability to communicate effectively in speech and writing
  • Ability to work collegially with students, staff, faculty, and community members
  • Organizational skills to handle tasks concurrently in a complex environment

Working Conditions / Demands
This position requires the ability to monitor conditions and respond quickly to the needs of guests and security. The position involves sedentary work as well as periods of time moving around an office environment and the campus for up to 8 hours. The ability to move objects weighing up to 50 pounds is required. There will be occasional opportunities for outdoor work (festivals).
