Job description

This is a part-time position that will work a weekday schedule from 8 to 430, With a frequency of 2 to 3 days per week.
The Receptionist manages a multi phone line system and provides administrative and secretarial support for office operations.
Minimum three years prior experience operating a multi-line phone system. Must have good phone presence: respectful and courteous to all callers. Able to listen to and be supportive of callers and address their needs. Ability to organize work, coordinate projects, set priorities, meet deadlines and follow up on assignments with a minimum of direction. Highly skilled in use of Microsoft Office. Excellent skills in proper English usage, spelling, grammar and punctuation; business correspondence formatting, time management, and multi-tasking.
  1. Triage a large volume of calls on a multi-line phone system.
  2. Activate and deactivate call service upon beginning and end of shift.
  3. Maintain visitor log and ensure escorts as necessary.
  4. Maintain file room including medical records and supplies.
  5. Ensures an adequate amount of office supply is maintained and provides ordering assistance to staff as needed.
  6. Provides administrative support for other areas of the organization as needed.
  7. Prepares purchase requisitions as requested.
  8. Maintain mailboxes with labels for current staff members.
  9. Sorts and distributes mail - incoming, outgoing, and interoffice.
  10. Create forms, label cards, certificates. Scan and create forms as requested
  11. Prepares correspondence, does data entry in Excel spreadsheets and updates Power Point slides, as requested.
  12. Demonstrates compassion, empathy, and patience when interacting with patients, families, co-workers, and members of the public.
  13. Represents Circle of Life to the community in a positive manner.
  14. Demonstrates flexibility, versatility and a positive attitude in integrating additional duties.
  15. Performs other duties as assigned.
