Financial Administrator (Bookkeeping & Payroll)

Hybrid (~4 hours onsite weekly, remainder remote) | 12-16 hours a week

Maitri OBGYN is an independent, patient-centered women's health practice rooted in compassionate, whole-person care. We are a team that shows up for our patients and for each other — and we're looking for a Financial Administrator who brings that same dedication to the behind-the-scenes work that keeps our practice running.

This role is the financial backbone of our day-to-day operations. You'll work closely with our COO and leadership team to ensure our financial processes are accurate, organized, and running smoothly — supporting the mission of providing exceptional care to the women and families we serve.

This position offers significant flexibility and is ideal for someone seeking meaningful part-time work with a mission-driven organization. While most work can be completed remotely, we anticipate approximately 3-4 hours onsite each week to support deposits and other financial operations.

What You'll Do

Accounts Payable

• Receive, code, and route invoices to the appropriate GL account and approver

• Obtain required approvals for all invoices and expense reimbursement requests

• Verify mathematical accuracy of invoices and reimbursement submissions

• Enter invoices into financial software and process approved payments

• Prepare and distribute checks for approved disbursements

• Maintain organized vendor files and supporting documentation

• Reconcile vendor statements and resolve discrepancies in a timely manner

Cash Receipts

• Deposit cash and checks in accordance with established procedures

• Reconcile credit card transactions on a monthly basis

• Post bank ACH deposits accurately and on schedule

• Record deposits and cash receipts in QuickBooks and maintain accurate supporting documentation

Payroll Administration

• Manage the bi-weekly payroll processing and submission, ensuring compliance with organizational policies and applicable payroll regulations

• Maintain payroll records and supporting documentation

• Coordinate with leadership regarding payroll changes, timekeeping issues, and employee updates

• Ensure payroll activities comply with organizational policies and applicable payroll regulations

Financial Reporting & Metrics

• Develop, monitor, and report on key performance indicators (KPIs) aligned to organizational goals

• Analyze operational and financial metrics to support strategic decision-making

• Provide recommendations for improving financial performance and operational efficiency

• Support the preparation of information used for leadership and partner meetings

Who You Are

• You hold a Bachelor's degree in Accounting or a related field (preferred), with at least 2 years of experience in bookkeeping, accounts payable, payroll administration, accounting support, or a related financial operations role

• Experience with QuickBooks or similar accounting software is strongly preferred

• Experience supporting a healthcare, medical, or professional services organization is a plus

• You're proficient in Microsoft Excel and Word, and comfortable learning new financial software platforms

• You're a self-starter who can work independently and thrive as part of a close-knit, collaborative team

• You bring strong organizational and record-keeping skills — details matter to you, and it shows
