Job Summary:
We are seeking a detail-oriented and proactive Administrative Assistant to support daily office operations and ensure a clean, organized, and welcoming work environment. This position requires fluency in Mandarin and the ability to manage various administrative, facility, and operational tasks efficiently.


Key Responsibilities:

Facilities & Office Environment Management

  • Act as the liaison between the company and property management to coordinate facility-related matters.
  • Maintain cleanliness and orderliness of the office, including shared areas such as the lobby and kitchen, fostering a warm and comfortable workspace.

Office & Supply Management

  • Monitor and manage inventory of office and kitchen supplies; handle purchasing and restocking.
  • Responsible for laundering and organizing company clothing or costumes as needed.

Cleaning & Equipment Maintenance

  • Coordinate regular cleaning services and ensure workplace hygiene is maintained.
  • Oversee the use and basic troubleshooting of office equipment and arrange professional repairs when necessary.

Asset & Equipment Management

  • Maintain accurate records of company assets, including procurement, assignment, and usage.
  • Assist with periodic asset inventory and transfers to ensure proper tracking and compliance.

Mail & Shipping Coordination

  • Manage company inbox, including receiving, sorting, forwarding, and filing important emails.
  • Handle mailroom duties, including receiving, sending, and signing for deliveries and procurement of miscellaneous items.

Administrative & Data Tasks

  • Support day-to-day administrative documentation, filing, and data entry.
  • Manage Excel records such as employee SIM card lists or inventory logs.

HR Support

  • Assist with onboarding processes and preparation of new hire documentation.
  • Maintain employee records and support tracking of attendance and leave requests.

Qualifications:

  • Proficiency in Mandarin and English (verbal and written) is required.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Detail-oriented with a proactive approach to problem-solving.
  • Prior administrative or office coordination experience preferred.
