The major function of this position is:
To provide administrative and coordination support to the transportation team, assisting the Logistics Specialist and Logistics Analyst with documentation, scheduling, vendor communication, and shipment tracking activities. This role enables the core logistics team to focus on analytical and strategic responsibilities while maintaining accuracy and efficiency in daily operational processes.
Pay: $21-$23/ hour
Hours: Flexible Monday-Friday 7:30AM-5:00PM
The principle responsibilities and duties of this position are:
  • Monitor the tracer email inbox and file claims with carriers. For eligible claims, partner with the vendor to support claim resolution.
  • Maintain and file import/export documentation for all international shipments, ensuring compliance with customs and audit requirements.
  • Update and confirm vendor pickup schedules across domestic and international carriers; communicate schedule changes to Distribution Center (DC) leads and outbound shipping teams.
  • Monitor and track inbound and outbound shipments using carrier portals or TMS visibility tools, flag exceptions and delays for escalation to the Logistics Specialist or Analyst.
  • Assist in coordinating DC returns, including preparing basic shipping documentation, confirming carrier pickups, and tracking deliveries to origin vendors.
  • Maintain and organize electronic filing systems for freight invoices, customs documentation, and vendor contracts.
  • Support communication with parcel and freight carriers to request proof of delivery, correct invoice discrepancies, or resolve basic claims documentation.
  • Provide general administrative support to the Logistics Specialist, Logistics Analyst, and Global Logistics Manager as needed to ensure smooth daily operations.

Desired Qualifications
Minimum 2 years of experience in logistics coordination, administrative support, or transportation operations. Working knowledge of shipping documentation and carrier communication processes. SAP or Transportation Management System (TMS) experience preferred.
Skills Required:
  • Strong understanding of shipping and logistics documentation (BOLs, commercial invoices, and import/export records).
  • Strong organizational skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office (Excel, Outlook, Teams); experience with SAP and TMS preferred.
  • Excellent communication skills and the ability to partner with internal teams and carriers.
  • Ability to multi-task and manage competing priorities in a fast-paced environment.
  • High degree of initiative and dependability, with the ability to work independently under limited supervision.
  • Strong sense of accountability and teamwork, supporting broader logistics goals and the Maui Jim service culture.
