About the Role

FT Media is seeking a detail-oriented, organized, and dependable Part-Time Office Manager to support the agency's internal operations. This role is the administrative backbone of our growing team — handling payroll processing, QuickBooks accounting tasks, and HR functions including paycheck administration. The ideal candidate is someone who thrives on accuracy, can manage confidential information with professionalism, and is comfortable wearing multiple hats in a small agency environment.

This is a part-time position with flexible scheduling, ideal for a self-starter who can work independently and keep the office running smoothly behind the scenes.This is a hands-on role requiring attention to detail, accountability, discretion, and strong problem-solving skills.

Key Responsibilities

Payroll

  • Process bi-weekly or semi-monthly payroll for all employees and contractors in a timely and accurate manner
  • Verify timesheets, hours worked, and pay rates prior to each payroll run
  • Ensure proper tax withholdings, deductions, and employer contributions are applied
  • Submit payroll through the designated payroll platform (Paychex)
  • Address payroll questions or discrepancies from employees promptly and professionally
  • Maintain accurate payroll records and prepare reports as needed

QuickBooks Accounting

  • Manage day-to-day bookkeeping tasks in QuickBooks Online
  • Record invoices, payments, expenses, and journal entries accurately
  • Reconcile bank accounts, credit card statements, and vendor accounts on a monthly basis
  • Generate financial reports including P&L statements, balance sheets, and cash flow summaries
  • Work with the agency's CPA or external accountant to support quarterly/annual tax preparation
  • Track accounts payable and receivable; follow up on outstanding invoices as needed
  • Maintain organized digital records of all financial transactions

HR & Paycheck Administration

  • Distribute and maintain employee paychecks, pay stubs, and direct deposit confirmations
  • Manage new hire paperwork including I-9s, W-4s, direct deposit forms, and onboarding documents
  • Maintain confidential employee records and HR files in an organized system
  • Administer employee benefits tracking and coordinate open enrollment as needed
  • Coordinate offboarding documentation for departing team members
  • Ensure compliance with federal and state employment regulations and record-keeping requirements
  • Serve as a point of contact for basic HR questions from team members

General Office Management

  • Manage vendor relationships and coordinate office supply procurement
  • Support leadership with administrative tasks including scheduling and correspondence
  • Identify opportunities to improve internal processes and operational efficiency
  • Maintain a well-organized filing system (digital and physical) for business records
Qualifications

Required

  • 2+ years of experience in bookkeeping, accounting, or office management
  • Proficiency with QuickBooks Online or QuickBooks Desktop
  • Hands-on experience processing payroll using a payroll platform (ADP, Paychex, or similar)
  • Strong understanding of basic accounting principles and payroll tax requirements
  • Exceptional attention to detail and accuracy in data entry and financial records
  • Ability to handle sensitive and confidential information with absolute discretion
  • Strong organizational and time management skills
  • Proficient in Microsoft Office or Google Workspace (Docs, Sheets, Gmail)

Preferred

  • Associate's or Bachelor's degree in Accounting, Business Administration, or related field
  • Experience working in a small business or agency environment
  • QuickBooks ProAdvisor certification is a plus
  • Familiarity with HR compliance requirements in Arizona
  • Experience with digital file management and cloud-based tools
