Job description

JOB PURPOSE:ย 

Each Leasingย Consultantย has primary marketing responsibility as it pertains toย interfacingย with prospective residentsย atย the community, handling day-to-day issues with current residents, and coordinating the renewals of existing leases. In this position, Leasingย Consultantsย are the communityโ€™s most important personnel as they canย determineย how well a community does inย a very competitiveย marketplace. Specific training forย Leasingย Consultantsย centers on Fair Housing, closing techniques, and overcoming objections.ย 

PRIMARY DUTIES & RESPONSIBILITIES:ย 

Will always include those specifically assigned by the immediate supervisor.ย 

  • Provideย excellent service to all residents, prospects,ย and visitors to the community.ย 

  • Effectively lease apartmentsย in accordance withย occupancy goals.ย 

  • Follow Fair Housing Standards in all dealings with prospects and residents.ย 

  • Conduct outside marketing under the direction of the Assistant Manager and the Community Manager.ย 

  • Conduct the application review for each lease including credit and income verifications and background checks.ย 

  • Complete lease paperwork and files for each resident to include the lease, all addendums and other proper documentation and signatures.ย 

  • Ensure the condition of leased apartments prior to move-in, including a final inspection.ย 

  • Follow up with residents throughout their lease terms, promote the annual renewal campaign for the community, manage lease renewals and complete lease documents.ย 

  • Complete all tasks necessary to successfullyย operateย the leasing office.ย 

Specific Responsibilities:ย ย 

Daily/Weekly:ย 

  • Daily Opening and Closing Procedures: Perform a daily โ€œmarketingโ€ inspection, including the check of the model, the condition of the leasing path, and amenities areas. Pick up trashย while carryingย a trash bag and sparkle kit.ย 

  • Answer all phone calls, emails, and voicemails that come in throughout the day.ย 

  • Signage Inspection: Inspect bootlegs, banners, balloons,ย and brochures.ย 

  • Leasing Office/Clubroom Appearance: Vacuum and clean clubroom as needed, if not performed by housekeeper.ย 

  • Refreshments: Prepare cookies or restock candy, beverages, and coffee each morning. Notify Community Manager when supplies are needed.ย 

  • Leasing:ย Greet prospects and showย apartmentsย andย coordinate the leasing process. Review applications from applicants andย provideย information to Assistant Community Manager for verification.ย ย 

  • Leads:ย Maintainย Guest Cards andย maintainย leasing notebook. Follow-up on all traffic with a Thank Youย emailย the same day as their visit and a phone call within 24 hours of their visit.ย Review allย Leadsย on a weekly basis and ensure that they are complete with notes on follow-up communication.ย 

  • Applications: Enter prospect information intoย Entrataย as directed by Assistant Community Manager. ย Follow up with applicant to retrieve any incomplete information.ย 

  • Lease Files: Onceย Leaseย file is complete and all signatures have been provided, ensure that a completed lease file isย forwardedย toย Assistantย Community Manager for review and approval. Once approved, send a copy toย residentย and file lease properly.ย 

  • Work Orders: In conjunction withย Maintenance Team, enter work orders intoย Entrata.ย Provideย a follow-up call if work cannot be completed within 24 hours. File work orders. Notify Community Manager of problems.ย 

  • Renewals:ย complete renewal effortย tasksย as necessary.ย 

Monthly/On-Going:ย 

  • Leads:ย Archiveย inactiveย Leads.ย Ensure Leads and Applicants in Entrata are up to date.ย 

  • Outside Marketing: Conduct outside marketing under the direction of the Assistant Manager and Community Manager.ย ย 

  • Audit: Complete audits of lease files andย Entrataย data as instructed by the Assistant Manager and Community Manager.ย 

  • Market Knowledge: Stay up to date with competitor rental rates, features, and specials to effectively overcome objections while marketing apartments to prospective residents.ย 

TURN:ย 

  • Roommate Matching: Assistย Assistant Community Manager with roommate matching processes and communication.ย 

  • Move-In Communication: Communicate to Assistant Manager and to the Maintenance Supervisor any resident requests or issues during theย Turnย process.ย 

  • Move-In Process: Coordinate Move-In process with new residents. In addition to completing lease packet at time of move-in:ย 

  • Enter gate codes, distribute parking decals.ย 

  • Obtain utility hook-up verification from resident (or no mail key).ย 

  • Forward Water submetering hook-up sheet to Assistant Community Manager for processing (if property submeters).ย 

  • Confirm Resident Contact Information & Demographics inย Entrataย 

QUALIFICATIONS:ย ย 

  • Professional and enthusiastic demeanor resulting from sales, leasing, marketing,ย andย customer service experience.ย 

  • Able toย demonstrateย a positive attitude and toย enthusiastically and effectively communicate the benefits of the apartment communityย to prospective students, their parents, and University personnel.ย

OTHER AND/OR PREFERRED EDUCATION/EXPERIENCE:ย
