Overview of Position
At Innovative Treatment Centers, the
Receptionist/Medical Assistant serves as the first point of contact for patients while also supporting essential clinical and administrative functions. This role bridges front desk operations with medical assisting responsibilities to ensure a seamless, welcoming, and efficient patient experience.
The individual in this position is responsible for maintaining the flow of daily operations by providing exceptional customer service, supporting clinical care, managing scheduling and records, and ensuring compliance with all regulatory and confidentiality standards. This team member plays a vital role in creating a safe, organized, and healing environment for all persons served.
Primary Responsibilities
Patient Experience & Front Desk Operations
- Greet patients and visitors in a warm, professional, and welcoming manner
- Answer and manage incoming calls, direct calls appropriately, and relay messages
- Assist patients with questions, concerns, and general inquiries
- Monitor lobby activity to ensure safety, confidentiality, and appropriate access
- Maintain cleanliness and organization of the reception area
- Maintain cleanliness and organization of patient rooms and clinic spaces
- Foster a respectful, calm, and healing environment at all times
Scheduling & Intake Coordination
- Schedule appointments, intakes, evaluations, and assessments
- Maintain provider schedules and intake calendars
- Prepare and maintain intake and evaluation packets
- Verify insurance eligibility and demographic information
- Obtain prior authorizations for services and prescribed medications
- Accurately enter and update patient information in the electronic medical record (EMR)
Clinical & Medical Assistant Duties
- Interview patients and record medical histories
- Obtain and document vital signs
- Collect, document, and prepare urine drug screens
- Assist providers with clinical tasks as needed
- Administer medications or injections under physician supervision, when applicable
- Prepare laboratory specimens and ensure proper handling and disposal
- Provide basic patient education regarding medications and available services
Documentation, Billing & Compliance
- Maintain accurate and timely patient records
- Assist with billing processes, insurance forms, and coding support
- Respond to insurance, medical records, and third-party inquiries
- Ensure compliance with HIPAA and 42 CFR Part 2 regulations
- Maintain strict confidentiality of all patient and organizational information
Inventory & Office Operations
- Monitor and maintain inventory of medical and office supplies
- Order supplies and verify deliveries
- Track and maintain urine drug screen and clinical inventory
- Coordinate maintenance of office equipment
- Manage document shredding and secure disposal processes
Team Support & Collaboration
- Serve as a liaison between patients, providers, and administrative staff
- Support clinical and administrative teams to ensure efficient workflow
- Assist with staff training and onboarding as needed
- Adapt to changing priorities and organizational needs
- Perform additional duties as assigned
Required Qualifications
- High School Diploma or GED required
- Active Certified Medical Assistant (CMA) certification required
- Strong communication and interpersonal skills
- Excellent customer service and patient-centered approach
- Ability to multitask and manage competing priorities
- Proficiency with EMR systems and basic computer applications
- Knowledge of medical terminology and basic clinical procedures
- Ability to maintain professionalism and confidentiality at all times
- Experience obtaining prior authorizations for Medicaid, Medicare, and commercial insurance plans
- Familiarity with CoverMyMeds and Carelon Behavioral Health authorization processes
Preferred Qualifications
- Minimum of one (1) year experience in a medical or behavioral health setting
- Experience with insurance verification and medical billing
- Experience with phlebotomy and laboratory procedures
- Familiarity with behavioral health, psychiatry, addiction medicine, or substance use treatment settings
- Bilingual (Spanish/English) strongly preferred
