Job description

We are currently looking for a Part-Time General Office Admin to join our Albuquerque, NM office.

Summary:             

General administrative office duties, operates central telephone to effectively route incoming calls, receives vendors, customers, visitors and answers general questions and directs individual to the appropriate person. Performs general administrative duties including scanning, data entry, preparing reports, mail distribution, typing, sorting, filing, and other clerical duties as directed. Knowledge and experience using Ajara is a plus!

Education and Experience:

Any combination of education and experience that would provide the required skill and knowledge for success. College degree preferred but not required. Good typing skills, attentive to detail, accurate. Well organized. Knowledge and ability to use computer applications, multi-phone lines and other office equipment.

Essential Job Functions

  • Answers, screens, routes, incoming calls.
  • Orders and maintains supplies and arrange for equipment maintenance.
  • Reviews and routes incoming mail.
  • Prepare outgoing mail and correspondence including emails, faxes, deliveries.
  • Takes client calls and enters them into our scheduling program. 
  • Reviews and routes incoming mail.
  • Demonstrates and conveys a favorable image of the organization.
  • Inputs data relating to projects including, but not limited to timesheets, work orders, proposal numbers, time charged to projects, mileage, lab data, and other.
  • Initiate and follow-through on collection efforts, including contacting clients with overdue balances and documenting all collection activities in accordance with company protocols.
  • Around scheduling section: Collecting a variety of details such as job numbers, date and time of work, contact information, and any other important data.
  • Provide clients with up-to-date information on insurance certificates, business licenses, and other administrative documentation as needed to support project and contractual requirements.
  • Assist corporate human resources with onsite onboarding tasks for new hires. 
  • Perform other duties as assigned by management. 
  • Recognize and maintain confidentiality of work materials as appropriate.
