At Canyon Bicycles, we are on a mission to build the best bikes in the world and inspire a passion for riding. The People & Operations Coordinator is an essential team member who keeps our U.S. operations running seamlessly while fostering an exceptional workplace experience across our Carlsbad and Rancho Cucamonga facilities.


Working in close partnership with the Sr. Director, People, this role balances daily office and facilities management (~50%) with talent acquisition, onboarding logistics, and employee culture programs (~50%).

This is a non-exempt, part-time position (capped at 25–28 hours/week) designed for a proactive, highly organized communicator who excels at context-switching between administrative detail work and hands-on operational tasks.

KEY RESPONSIBILITIES

Workplace & Facilities Operations

  • Facilities & Vendor Liaison: Serve as the primary on-site point of contact for property management, building maintenance, and external facilities vendors (janitorial, security, HVAC, office supplies).
  • HQ Space Management & Maintenance: Maintain a functional, clean, and welcoming environment at our Carlsbad headquarters. Manage office inventory, restock supplies, and handle day-to-day shipping, receiving, and mail distribution.
  • Event & Meeting Logistics: Coordinate setup, catering, gear, and spatial logistics for internal meetings, executive visits, cross-functional workshops, and culture events.
  • Multi-Site Support: Periodically travel (up to 10%) to provide facilities coordination and on-site operational support for our Rancho Cucamonga site.


Recruiting & Onboarding Operations

  • Interview Coordination & Logistics: Manage full-cycle scheduling across multiple calendars, maintain candidate communications, and deliver a high-touch, professional candidate experience.
  • Onboarding Facilitation: Execute new hire onboarding logistics, including pre-arrival communications, desk and hardware setup coordination, first-day welcome schedules, and office orientation walk-throughs.
  • Talent Sourcing & ATS Support: Post job descriptions, assist hiring managers with initial resume screening, track candidate pipelines, and maintain recruiting data integrity within our ATS.


People Department Administration & Culture

  • Administrative Support: Provide proactive, high-level administrative support to the Sr. Director, People, including calendar coordination, document preparation, and internal communications.
  • Compliance & File Audits: Assist with routine personnel record audits (I-9s, NDAs, employee documentation) to ensure ongoing compliance with federal, state, and local labor regulations.
  • Culture & Engagement Programs: Partner with People leadership and the Canyon Culture Committee (CCC) to plan and execute employee appreciation initiatives, wellness activities, and internal culture campaigns.


QUALIFICATIONS & REQUIREMENTS

Minimum Qualifications

  • Education: Associate degree in Business Administration, Human Resources, Communications, or related discipline (or equivalent practical experience).
  • Experience: 2–4 years of progressive experience in office administration, workplace operations, executive support, or HR coordination.
  • Hands-on familiarity with Microsoft 365 (Outlook, Teams, Excel, Word) and modern ATS/HRIS software (ADP, Greenhouse, or similar).
  • Part-Time Hours & Location: Ability to work a reliable, on-site part-time schedule (25–28 hours per week) in Carlsbad, CA, with occasional local travel.
  • Confidentiality & Discretion: Demonstrated experience handling highly sensitive personnel, financial, or legal information with utmost integrity.


KNOWLEDGE, SKILLS, ABILITIES

  • Operational Adaptability: Ability to seamlessly shift gears from administrative desk work (scheduling, data entry) to hands-on facility coordination (vendor check-ins, office setup).
  • Communication & Interpersonal Skills: Excellent written and verbal communication skills; adept at building authentic working relationships with staff, executives, candidates, and external vendors.
  • Organization & Time Management: Outstanding organizational skills and attention to detail, with proven ability to prioritize tasks independently within a 28-hour work week.
  • Problem-Solving & Judgment: Proactive, resourceful mindset with sound judgment and a customer-service orientation toward employees and visitors.

WORK ENVIRONMENT & PHYSICAL DEMANDS

  • Work Environment: Work is performed in both a professional office environment and operational warehouse spaces. This role supports a dynamic, active, performance-driven workplace reflective of Canyon’s brand culture.
  • Physical Demands: While performing the duties of this job, the employee is regularly required to sit, stand, walk, hear, and use hands/fingers to operate computer equipment. The employee must occasionally lift, move, or reconfigure office supplies, event gear, or facilities equipment weighing up to 25 pounds.
