What is a part time intake coordinator?

A Part Time Intake Coordinator is a professional who assists organizations, such as healthcare facilities or social service agencies, by managing the initial intake process for new clients or patients. They gather essential information, complete paperwork, verify insurance, and help coordinate the first steps of care or service. Working part-time, they typically handle these responsibilities during specific hours or days rather than full-time. Their role is crucial for ensuring smooth onboarding and providing a positive first impression for clients. Attention to detail, strong communication skills, and organizational abilities are important qualities for this job.

What are the key skills and qualifications needed to thrive as a part time intake coordinator?

To thrive as a Part Time Intake Coordinator, you need strong organizational skills, attention to detail, and experience with client intake procedures, often supported by a background in healthcare, social services, or administration. Familiarity with electronic health records (EHR) systems, scheduling software, and secure data management is commonly required. Excellent communication, active listening, and empathy are critical soft skills for engaging with clients and supporting team coordination. These competencies ensure efficient processing of client information, accurate record-keeping, and a positive experience for both clients and staff.

What are the typical challenges faced by a part time intake coordinator, and how can they be managed effectively?

Part Time Intake Coordinators often encounter challenges related to balancing a high volume of client inquiries with administrative responsibilities, all within limited weekly hours. Managing time efficiently and prioritizing urgent cases is crucial to ensure clients receive timely assistance and accurate information. Effective communication and collaboration with other team members, such as case managers and administrative staff, can help streamline the intake process and prevent bottlenecks. Staying organized and utilizing client management systems will further support a smooth workflow in this dynamic role.

Job description

Grow With Us

We're looking for a Brand Designer who will execute high-quality design work across marketing and sales channels while helping manage incoming design requests. This role contributes to project scoping and coordination, with a primary focus on delivering strong visual assets and ensuring brand consistency across all touchpoints.

A Brand Designer owns the design function as a strategic partner to the business. In addition to executing design work, they shape how design projects are scoped, prioritized, and executed across the company. They act as a consultant to internal teams, guiding stakeholders on how to best approach visual communication rather than simply fulfilling requests. This role also leads brand systems, manages design operations, and mentors other designers or contractors.

The ideal candidate is beginning to build skills in project management and cross-functional collaboration, and is developing confidence in acting as a strategic design partner.

This role follows a 3-day in-office setup, designed to enable close collaboration with the marketing team and cross-functional partners.

This is a contract position with strong potential to transition into a full-time role based on performance and business needs.

Day In The Life

Strategic Brand Ownership

  • Ensure brand consistency and clarity across all marketing, sales, and product-facing materials. Evolve the brand system as the company grows. Establish templates, standards, and scalable design patterns.

Design Consulting

  • Act as a strategic advisor for design requests.
  • Help stakeholders clarify the objective of a request before execution.
  • Recommend the best format, structure, or design approach rather than simply executing what was asked. This includes reframing a request for a slide deck into a one-pager or web page, improving messaging hierarchy and information structure, and advising on visual storytelling for sales or marketing campaigns.

Project Scoping & Prioritization

  • Own the design request intake process. Scope projects properly by defining goals, audience, deliverables, and timelines. Prioritize requests based on business impact.

Design Operations

  • Manage and mentor part-time designers or contractors. Review work and maintain quality standards. Improve design workflows and processes across the company.

Cross-Functional Partnership

  • Work closely with product marketing, growth, sales, and leadership. Translate strategic initiatives into clear visual communication.
What Success Looks Like
  • Design requests are clearly scoped before work begins.
  • Stakeholders receive guidance on the best approach, not just design execution.
  • The brand system becomes more scalable and consistent.
  • Design becomes a strategic partner to marketing and sales.
  • Contractors and other designers produce work that meets brand standards.

Who You Are

  • Strong design craft and visual storytelling.
  • Confidence in advising stakeholders and pushing back when needed.
  • Ability to translate vague requests into clear project scopes.
  • Ownership of design operations and prioritization.
  • Ability to mentor and elevate other designers.

Salary Range

In compliance with the California Pay Transparency Law, the base salary range for this role is between $30 to $45 per hour in Utah. This range is not inclusive of our discretionary bonus or equity package. When determining a candidate's compensation, we consider a number of factors including skillset, experience, job scope, and current market data.
