Part time/ full time opportunities available. 12 Hour days/nights shift available
Performs a variety of duties to coordinate the assignment of beds UMMMC-wide for patients being admitted to the hospital. Tracks patients awaiting admission, facilitates patient admission from on-site and outside facilities. Captures admission information including demographics and updates hospital registration and related availability alert systems.
I. Major Responsibilities:
1. Receives and triages phone calls from the full range of internal and external admission points including the ER, OR, Clinics, and Short Stay. Logs all incoming requests. Receives and triages phone calls to appropriate providers during emergency situations. Updates multiple Reservation Request Lists within the bed management system. Adds patients awaiting admission to UMMMC to the reservation list.
2. Enters intake patient information into the bed management system. Provides bed status updates and alerts Care Connection staff when bed is identified.
3. Creates reservation requests for patients as needed, including urgent admits from clinics, home, and other facilities.etc. Monitors bed availability. Alerts supervisors and/or nursing leaders when additional resources are needed.
4. Prioritizes requests on the Reservation Request List in accordance with department practice and policies. Applies functional knowledge of inpatient hospital units on the UMass Memorial Medical Center campuses. Triages patients accepted for admissions. Utilizing knowledge of patient diagnoses and physician preferences, determines the most appropriate unit to admit the patient to.
5. Escalates priority issues to Care Connection Center Director and/or Manager as needed. Escalates room turnover issues to housekeeping supervisors as needed.
6. Registers patients (e.g. direct transfers) by entering information into the computer-based patient registration, and bed management system. Inputs demographic and insurance information when available. Follows up to correct discrepancies as required.
7. Books appropriate beds on both campuses for patients on the Reservation Request List. Admits patients in the bed management system. Completes necessary admissions paperwork for admitted patients, including preparing patient bracelets and cards. May reassign patients based on changes noted in acuity when patient arrives at the hospital.
8. Provides relevant patient information to the admitting unit to facilitate the patient's care upon arrival including estimated time of arrival, condition, special precautions, and admission instructions.
9. May assist families/visitors in locating admitted patients and/or with hotel arrangements in accordance with hospital/departmental policy.
10. Reconciles the hospital census, verifying that patients are listed in the correct beds within the bed management system. Ensures PACU and ED boarders are in the correct accommodation code (e.g. private, telemetry).
11. Monitors and analyzes key patient flow statistics. Works to ensure system-wide benchmarks are achieved.
12. Reviews patient census across both campuses and runs a variety of occupancy/census reports. Distributes relevant reports to leaders within UMMMC daily.
13. Updates physician fields within bed management system as required. Records changes in log and responds to physician change requests.
14. Reconciles OR schedule with the bed management system and elective pre-registration list. Once reconciled, add patients to the Reservation Request List in the bed management system on the appropriate date.
15. Maintains accurate and timely records, logs, files, and related information as required. Updates DPH website as required by department/hospital policy.

Experience/Skills:

1. 3+ years of related experience.
2. Requires the ability to use specialized applications software and computer systems for patient registration, scheduling and a knowledge of business office procedures.
3. Requires knowledge of medical terminology, third party payer billing and managed care requirements and procedures.
4. Typing speed must be 35+ wpm.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
Department-specific competencies, including age-specific competencies and their measurements, will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.

Work is considered sedentary. Position requires work indoors in a normal office environment.
