Job description


A local organization is seeking a Help Desk Associate to help with workshops and willing to drive over an hour for conference assistance. This is a part-time position working 8 to 12 hours each week between the hours of 9 a.m. to 5 p.m.
Key Responsibilities:
  • Vendor purchasing and order tracking, build purchase-ready lists with links, prices, and shipping dates, place orders online and by phone, track shipments against a deadline and chase anything late
  • Print production coordination, get quotes from commercial printers, submit files, check proofs against written specs, and manage turnaround
  • Materials kit assembly, assemble table kits and card sets to a written checklist, count, label, and pack for transport
  • Schedule & confirmations, book rehearsal venues, confirm participant rosters by phone and email, and send reminders
  • Equipment setup & testing, connect laptop to a screen, pair and/or test wireless call buttons and timers, and write down setup steps so they repeat exactly on event days
  • Status reporting, one short written update at the end of each work session and sent without being asked
  • Perform other duties as needed

Job Requirements
Requirements:
  • Must have the ability to connect a laptop to a conference room screen over HDMI, pair and test wireless devices, and troubleshoot when something fails
  • Event production, stage management, or hospitality coordination background is a bonus
  • Must be comfortable with Google Sheets or Excel for simple tracking
  • Professional phone and email manner with vendors and participants is needed
  • Must have a reliable personal vehicle with a willingness to drive to Catawba Island for events/conferences
  • Must be able to lift and carry boxes up to about 30 pounds
  • Must be detail-oriented with accurate data entry skills
  • Must be reliable, punctual, and able to work well under pressure
  • Must be able to maintain confidentiality
