Job Overview
The Office Support Associate supports the Austin Corporate Office on a part-time basis. The role focuses on maintaining a clean, stocked, and welcoming workplace environment. This role helps create a positive and organized workplace experience for employees and visitors. The schedule is expected to be mornings 3-5 weekdays during normal business hours, with flexibility based on office needs.
Responsibilities and Duties
  • Maintain clean, organized, and welcoming shared office spaces including the kitchen, break room, conference rooms, supply areas, and lobby
  • Restock office, kitchen, snack, beverage, and meeting supplies as needed
  • Receive, organize, distribute, and coordinate mail, deliveries, and outgoing packages
  • Coordinate office supply and snack orders through approved vendors and ordering platforms
  • Support onsite meetings, visitors, and team events with hospitality and room preparation
  • Maintain kitchen organization, including loading/unloading the dishwasher and restocking beverages, coffee supplies, and snacks
  • Monitor conference rooms and shared spaces to ensure they remain presentable throughout the day
  • Coordinate minor office or facility needs with vendors, building management, contractors, or internal contacts
  • Submit and monitor maintenance requests and assist with onsite vendor coordination as needed
  • Support onboarding logistics for Austin-based new hires, including office access coordination, welcome communications, workspace setup, and office tours
  • Assist with employee offboarding logistics related to office access and key/fob returns
  • Create and support monthly office events, celebrations, and employee engagement activities
  • Assist with internal office communications such as workplace announcements, newsletters, and event reminders
  • Maintain organization of office storage areas, supplies, and décor materials
  • Support general office administration, organization, and operational projects as needed
  • Provide additional office and administrative support as needed

Skills, Qualifications & Culture
  • High attention to detail with a proactive approach to cleanliness and organization
  • Strong technical skills including PowerPoint, Excel, and Word, and basic digital tools, including calendaring
  • Strong time management skills and ability to work independently with minimal oversight
  • Reliable and punctual, with consistent availability during scheduled hours
  • Friendly, professional demeanor when interacting with internal teams and visitors
  • Takes initiative and identifies needs before being asked
  • Demonstrates pride in creating a welcoming and organized environment
  • Comfortable managing multiple small tasks and shifting priorities throughout the day

Preferred Qualifications
  • Previous experience in office coordination, workplace experience, facilities support, hospitality, or administrative support roles
  • Familiarity with office supply inventory, vendor coordination, and event support
  • Experience supporting employee onboarding or office operations
  • Good communication and problem-solving skills
  • Adaptable and flexible within a fast-paced office environment

Physical Requirements
  • Ability to lift, carry, or move items up to 25 pound
  • Ability to walk throughout the office and stand periodically during scheduled shifts
