Major Duties

Under general supervision, Administrative Support Coordinator provides clerical and administrative support to CARE administrators and staff, maintains files, processes financial documentation, facilitates student assistant employment processes, responds to inquiries, coordinates meetings, prepares reports, supports budget activities, and delivers professional customer service across the center.

  • Provides clerical and administrative support to administrators and staff within the CARE offices.
  • Organizes and maintains online (e.g., myCSUNbox, Qualtrics) and physical files (e.g., download and review project balances and financials received, keeping track of project budgets).
  • Facilitates student assistant hiring, onboarding and separation processes.
  • Prepares and distributes items for members of the CARE team, such as meeting agendas, minutes, and information packets; compiles monthly Director reports.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to four (4) years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year for year basis.

 

Knowledge, Skills, & Abilities

  • Ability to provide organized and accurate clerical and administrative support in a professional office environment.
  • Ability to communicate professionally and courteously with administrators, faculty, staff, students, and visitors.
  • Skill in organizing and maintaining electronic and physical records, files, and documentation.
  • Ability to prepare, compile, edit, and distribute reports, meeting minutes, agendas, and informational materials.
  • Skill in supporting financial and administrative processes, including budgets, bills, chargebacks, requisitions, and eTravel inquiries.
  • Proficiency in PeopleSoft, Outlook, Microsoft Office, and online document storage and survey platforms such as Qualtrics.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver, and more.
  • Classification: 1035 / Administrative Support Coordinator / Grade 1
  • The anticipated part time equivalent HIRING RATE is $2023.50 per month. The part time equivalent salary range for this classification is: $2023.50 - $2948 per month.
  • HOURS: Part Time; 20 hours per week; Monday through Friday.
  • This is a Temporary position; end date to be determined.
  • The position is currently hybrid (3 days in office, 2 days remote); however, this is subject to change based on student and/or operational needs.
