Job Summary

The Receptionist in an independent living, memory care and or assisted living facility serves as the first point of contact for residents, visitors, and staff, providing a welcoming and organized environment. This role involves greeting people, answering phones, handling inquiries, and managing administrative tasks to support campus operations and resident well-being.

Essential Duties and Job Responsibilities

  • Warmly welcoming visitors, residents, and staff, providing information and directing them as needed.
  • Answering and directing phone calls, taking messages, and ensuring prompt communication.
  • Answering questions about the facility, resident status, services, and general information.
  • Managing mail, packages, and deliveries; scheduling appointments; assisting with filing, data entry, and other light clerical duties.
  • Keeping accurate records of visitors, deliveries, and appointments, and ensuring the confidentiality of sensitive information.
  • Maintaining a clean and organized reception area and contributing to a positive atmosphere.
  • Facilitating communication between residents, families, and staff, and escalating concerns to appropriate personnel.
  • Assisting with transportation scheduling, guest meal coordination, and other tasks as needed.
  • Ensuring all necessary information is up-to-date and readily available.
  • Other duties as assigned.

Requirements and Qualifications

  • One or more years of experience in a clerical position preferably in healthcare setting.
  • Have a passion for caregiving and enhancing the quality of life for our residents
  • Excellent communication skills are essential for interacting with residents, families, and staff.
  • The ability to manage multiple tasks, prioritize effectively, and maintain detailed records
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • The ability to provide positive and helpful experience for residents and visitors.
  • The ability to address issues and find solutions efficiently
  • Must maintain a high standard of confidentiality and honesty.
  • Strong analytical skills and the ability to evaluate and solve problems with minimum assistance.
  • Must have a high school diploma or equivalent.
  • Compassion for and desire to work with the elderly
  • Create and uphold an atmosphere of warmth, patience, enthusiasm, and a calm and cheerful environment.
