Job Summary/Basic Function:
The Compliance Program Manager provides oversight and operational direction for all compliance-related activities for the School of Nursing within the College of Health, Education, and Human Services (CHEH). This position ensures that undergraduate and graduate nursing programs adhere to institutional, clinical partner, accreditation, and regulatory standards related to student and faculty clinical readiness. In addition to managing systems and processes for documentation and clearance, the role leads risk management initiatives, oversees internal audits, and strengthens relationships with external clinical partners to support high-quality, uninterrupted clinical placements.
Minimum Qualifications
  • Bachelor's degree and 5 years of professional experience OR Master's degree and 3 years of professional experience; or an equivalent combination of experience and education
  • Experience in clinical coordination, compliance, or risk management within a healthcare or academic setting.
  • Demonstrated experience with compliance management systems and a strong understanding of regulatory standards impacting Healthcare education and/or associate clinical practice.
  • Excellent organizational, communication, and analytical skills, with the ability to manage multiple priorities and work independently.
  • Highly detail oriented and organized and able to efficiently track and complete multiple projects concurrently
  • Ability to manage confidential and sensitive information with integrity and caution

Preferred Qualifications
  • Working knowledge of immunizations, CPR requirements and titer test results
  • Experience working with medical regulations or in higher education
  • Knowledge of HIPAA, FERPA, OSHA, CDC guidelines, and accreditation standards (e.g., CCNE, ACEN).
  • Experience with policy writing, audit preparation, and clinical partner relationship management.

Essential Functions and percent of time:
Compliance Administration and Oversight (70%)
  • Oversee all clinical compliance operations for students, faculty, and adjuncts across undergraduate and graduate nursing programs, for both Dayton and Lake Campus.
  • Serve as the primary administrator for online compliance systems (e.g., CastleBranch), ensuring efficient, accurate, and secure management of compliance documentation.
  • Develop, implement, and continuously improve compliance monitoring tools, dashboards, and workflows to track immunizations, background checks, training modules, waivers, and other required documentation.
  • Provide regular clinical/laboratory compliance reports to internal stakeholders (lead faculty, program directors, Chair) and external clinical sites as needed.
  • Monitor changes in CDC guidelines, state laws, facility requirements, and accreditor standards (e.g., CCNE) to update internal protocols accordingly.
  • Collaborate with clinical agency representatives and Employee Health departments to resolve documentation discrepancies and ensure site-specific compliance.
  • Develop and maintain compliance classifications by program and graduation cohort to support accurate tracking and reporting.
  • In collaboration with leadership, analyze compliance trends, identify areas of risk, and implement proactive strategies to avoid delays in student placement or accreditation issues.
  • Act as a subject matter expert for students and department personnel regarding current standards and approval requirements for compliance.

Risk Management and Policy Development (30%)
  • Oversee internal audits of compliance records and collaborate with university risk management to mitigate liability related to clinical placements.
  • Respond to audit requests from accrediting bodies and clinical agencies with timely, organized documentation.
  • Draft, revise, and implement policies and standard operating procedures (SOPs) related to compliance, onboarding, immunizations, training, and clinical readiness.
  • Maintain and update compliance-related materials in the university's learning platforms (e.g., Pilot), including mandatory training (e.g., Bloodborne Pathogens, Clinical Passport).
  • Review and update compliance-related documents on the School of Nursing website annually or as needed.
  • Lead the School's participation in compliance-related university and external committees, including the Greater Dayton Area Hospital Association (GDAHA).
  • Serve as a primary resource during new student orientation regarding compliance requirements and deadlines.
  • Support clinical faculty and adjunct onboarding by collecting and verifying required documentation, including for sites not tracked through online systems.
  • Partner with relevant university stakeholders to ensure compliance initiatives are integrated with broader institutional goals.
