Job Description The City of Saratoga currently has one position available in the Public Works Department for an Administrative Assistant II. This position is approximately 28 hours per week. This position works closely with other departments in achieving city-wide goals and objectives.  Works under the specific direction of the Public Works Director and the general direction of Assistant Directors. All employees are also under the general supervision of the City Manager.Job Responsibilities Performs a variety of general administrative, executive, and clerical dutiesUse a multi-line telephone to receive, respond, and direct telephone calls in regards to questions and concerns; greet and assist walk-in developers, vendors and citizensCreates, completes, files, and tracks various work orders as related to the job using City Works (i.e.: Street lights, street signs, water issues, subdivision inspections, meters, and sidewalk inspections etc.)Compiles various reports, statistical data, correspondence, memoranda and other documents for the Department and staff.Works on various projects with the other departmentsTracks, records, and oversees bonds relating to performance, warranty, excavation, and gradingRegisters, insures and renews all newly leased or purchased City vehicles; Coordinate, register, and insure annual fleet renewalsRead, interpret, apply and explain rules, regulations, policies and proceduresEstablish and maintain cooperative and effective working relationships with elected and appointed officials, City employees and members of the publicPrepares requisitions for purchase ordersPerforms other duties as assignedQualificationsEducation & Experience:An Associate's Degree or equivalent from an accredited college or university in public administration, business administration, accounting, or similar related field from an accredited College or University.2 years of experience in a municipal, engineering, and/or technical office setting.Special Qualifications & Certifications:A valid Utah Driver License.First Aid CertificationCPR CertificationKnowledge, Skills and AbilitiesAll duties require high attention to detail and meeting legal and procedural deadlines.Proficient with Microsoft Office Suite software programs including, but not limited to, Outlook, Word, Excel, and Power PointOverall general computer knowledge and skills.The ability to learn new software and other programs.Quantitative skills and problem solving.Ability to read maps and learn coordinates.Organizational skillsBasic knowledge of office practices and procedures.Apply and follow rules, regulations, policies, and procedures.Provide good customer service and work cooperatively and effectively with appointed officials, the public, and other employees.Communicate clearly, concisely, and professionally both orally and in writing.
