Job Summary:

Provide sales, administrative, and account service support through taking and tracking orders, providing logistical support, and the resolution of account issues and grievances.

Responsibilities:

  • Originate inside sales; take orders via phone, fax or e-mail and input orders into system.
  • Follow orders from time of placement to time of invoice, processing all paperwork; communicate with other departments about issues related to orders.
  • Confirm orders to account purchasers; analyze logistical options and make decisions based on costs and time frames and notify logistics company of decisions and track shipments.
  • Input new accounts in the system and maintain accounts codebook; enter sample requests for accounts when needed.
  • Communicate with and assist salesperson with requests, issues, credits, product return authorizations, and assist with handling account grievances.
  • Request updated pricing and send to accounts.
  • Communicate regularly with customers, salesperson, and departments.
  • Responsible for aged receivables and follow up on outstanding payments/past due invoices.
  • Maintain min/max levels of product per customer request and update min/max level excel sheets as needed.
  • Provide inventory to customers upon request.
  • Plan full truckloads to customers.
  • Prepare monthly aged inventory reports for salesperson who monitors floor stocks.
  • Answer phones, direct calls and take messages.
  • Call for service on office machines as needed.
  • Assist with administrative duties as needed.
  • Communicate with customers, employees, and others to answer questions, disseminate, or explain information.
  • Interact with all departments for the purpose of ensuring orders are being fulfilled timely/accurately.
  • Act as the gatekeeper of orders for customers and follow from beginning to end.
  • Other Duties as assigned.
  • AA degree required
  • Bachelor’s degree preferred
  • 3 years’ Account Services experience in a Manufacturing Industry required, Food Manufacturing preferred
  • Demonstrated experience building positive customer relations
  • 3 years’ general administrative experience required
  • Logistics experience preferred
  • Strong verbal and written communication skills required
  • Knowledge of Microsoft Office Applications, advanced proficiency preferred
  • Microsoft Excel experience required
  • Must be able to multi-task and work independently with minimal supervision
  • Ability to sit and work at a computer keyboard for extended periods of time
  • Walking or standing for brief periods of time.
  • Ability to lift up to 25 pounds occasionally
  • Able to extend arms with hands over the head or at shoulder height
  • Hold, grasp, or turn with the use of hands
  • Touch, pickup, and pinch with the use of fingers
  • Kneel, stoop or bend downwards and forward
  • Express or exchange ideas by means of spoken word.  Convey detailed instructions to others
  • Able to hear, understand and distinguish speech and/or other sounds such as machinery alarms
  • Near and far visual acuity required
  • Work in an environment that is noisy, dusty and may contain spices with high heat intensity
  • Withstand working in cold and hot temperatures for long periods of time
  • Must be able to read and write English
