Summary

King County Metro is searching for a self-motivated administrative professional with good judgment, an eye for accuracy, and strong customer focus to provide support to the General Manager's Office (GMO). This Administrator I will provide administrative support to the Director of Partnerships & Engagement and the Director of Communications & Marketing within the Chief of Staff Office in the GMO. They will work closely with leaders and staff within the GMO to execute complex and critical administrative support for the agency. This position will report to the Administrative Supervisor within the Administrative Services Section in the Finance & Administration Division.
This recruitment will fill one (1) Term Limited Temporary / Special Duty Assignment expected to last until 12/31/26 and may be used to generate a pool for future Career Service, Term Limited Temporary (TLT), and Special Duty Assignment (SDA) positions that may occur in this classification in MTD. The pool would be retained for twelve months from date of posting and may be used at the discretion of the hiring authority.
Job Duties
Applying is a daily responsibility and a foundational expectation for all King County employees. In this role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of the work.As the Administrator I, you will:
  • Maintain the managers' high-volume and complex calendars; proactively providing context for appointments when necessary, using sound judgement in decision-making, and assisting in tracking priorities.
  • Schedule, organize, and support various meetings and events on behalf of the managers or their staff, such as facility and technology reservations, material development, note-taking, etc.
  • Prepare, format, edit, and send formal and informal communication on behalf of and in support of the managers or workgroups.
  • Track project deadlines including coordinating with internal and external customers and researching and assembling related documentation for leadership review.
  • Be the delegated authority to independently handle many daily administrative support duties for and on behalf of the managers.
  • Maintain confidentiality and earn the trust and respect of co-workers through honesty, integrity, and professionalism in all interactions.
  • Use independent judgment to screen telephone calls, emails, meeting requests, and visitors to provide exceptional customer service.
  • Develop, implement, and ensure maintenance of section-wide processes to support various administrative programs or projects such as interagency agreements, correspondence, signature routing, onboarding and offboarding, records retention, travel and training plans, etc.
  • Provide administrative expertise and guidance on processes for staff within the Partnerships & Engagement and Communications & Marketing sections.
  • Perform other special projects and related duties as assigned.

Experience, Qualifications, Knowledge, Skills
We are looking for candidates who have:
  • 2 years of experience performing administrative support work and functions in a professional setting, OR an equivalent background of education and experience necessary to perform the job duties.
  • Experience coordinating a high volume of diverse assignments and competing priorities while maintaining strong attention to detail in a sometimes ambiguous work environment.
  • The ability to be flexible, adaptable, and work independently to make good decisions with sound judgment, tact, and diplomacy.
  • A customer-focused mindset and can work with diverse groups of customers in person, via telephone and e-mail, while maintaining an appropriate level of confidentiality.
  • A commitment to supporting and strengthening coordination within the team.
  • Clear communication skills, both verbally and in written form.
  • Experience leveraging technology tools, including intermediate-level skills in Microsoft Excel, Outlook, PowerPoint, Visio, Word, Adobe, DocuSign, Teams, and SharePoint.

Highly competitive candidates will have (desired, but not required):
  • Experience supporting Senior leaders and/or large teams.
  • Knowledge of Metro Transit policies & procedures.
  • Knowledge of how large organizations work, including how to get things done through formal and informal channels.

This recruitment is open to all King County Employees and the general public. King County employees applying for the SDA need to have passed their six (6) month probationary period in their current position.

Work Location:
This is a hybrid position. The main work site for this position is King Street Center, 201 S Jackson St., Seattle, WA 98104. The team works in a hybrid model, with days in the office as well as telecommuting. Currently, employees are required to be in the office a minimum of two days per week. There is a plan for this to increase to three days by the end of the summer. The ratio of remote to onsite work is subject to change depending on business needs. Employees have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
