About the Team

The team is part of the Print Operations Department.

About the Role:

The Dow Jones printing facility located in Silver Spring is looking for an experienced candidate for the position of administrative assistant. Under minimum supervision performs various administrative details and uses independent judgment requiring detailed knowledge of thedepartment and company policies. You may work independently on assignments and is responsible for the completion of projects. This part-time role is based in White Oak Maryland, reporting to the Senior Manager, Production Operations.


You Will:

  • Enter all commercial production details into an existing spreadsheet.

  • Monitor and follow procedures to order newsprint for contract print jobs and DJ.

  • Track newsprint consumption using existing software and Excel.

  • Assist in the physical inventory counting within the plant on frequent basis.

  • Prepare invoices for commercial work (i.e. Epoch and NYT).

  • Assist with EHS documentation and file storage.

  • Be responsible for performing a wide variety of clerical procedures that require independent judgment, ingenuity, and initiative in the utilization of computers and other equipment.

  • Other duties involve coordinating between departments to complete projects, setting up and formatting reports, scheduling appointments, arranging meetings, maintaining a calendar, monitoring inventory, and ordering supplies.

You Have:

  • Ability to establish rapport with customers and colleagues being polite and friendly.

  • Knowledge and proficiency in basic computer applications such as Microsoft Office and Google Workspace.

  • Excellent organizational skills.

  • Ability to multitask, excellent time management skills and the ability to distinguish and prioritize tasks that need priority.

  • Excellence in written and verbal communication.

  • Ability to communicate clearly and effectively with the customers, guests, superiors and other team member.

  • High school diploma, secondary education level or equivalent work experience (preferred).

  • Experience with email, spreadsheets, presentations and word processing applications (preferred).

  • Basic understanding of accounting principles to complete financial paperwork (preferred).

  • 2 years of related work experience (preferred).
