Essential Duties and Responsibilities

The Part-Time Operations Manager is the backbone of our firmโ€™s daily operations and a champion for team engagement. You will oversee and improve internal processes, support technology adoption, and nurture a vibrant, collaborative firm culture.

Key Responsibilities:


Operational Support & Workflow Management

  • Oversee and continually improve firm processes, policies, and workflows for client service delivery.
  • Coordinate client onboarding to ensure efficient, positive experiences.
  • Implement and monitor tools and software for optimal workflow and data security.
  • Maintain compliance with industry standards and firm protocols.

Technology & Process Optimization

  • Recommend and support the adoption of new technology and processes to enhance efficiency.
  • Troubleshoot operational or workflow issues as they arise, escalating as needed.
  • Coordinate regular evaluation of systems and apps utilized by the firm to ensure proper billing and utilization of these systems.
  • Supervise external IT relationships and ensure the highest standards of data integrity, innovation and integration.

Reporting & Quality Assurance

  • Track and report on key operational metrics (e.g., turnaround times, team deadlines, process improvements).
  • Assist in maintaining high-quality standards across deliverables and client communications.

Team Leadership and Development

  • Champion a positive, inclusive, and high-engagement team culture.
  • Plan, schedule, and facilitate regular team meetings, ensuring agendas are clear and outcomes are actionable.
  • Coordinate and monitor professional development activities and continuing education compliance for all team members.
  • Organize and manage logistics for the annual team retreat, including planning activities aligned with team-building and strategic goals.
  • Develop and implement team engagement initiatives (e.g., recognition programs, surveys, team challenges) to foster motivation, collaboration, and well-being.

Client Engagement Administration

  • Coordinate with service team on client renewals, engagement letters, and fee schedules.
  • Support the client services team in managing communications and addressing operational questions or concerns.

Continuous Improvement

  • Lead or participate in internal training on new processes, software, and client service strategies.
  • Gather team feedback on workflows and recommend changes for enhanced performance and satisfaction.
  • Executive Support to Managing Partner
  • Serve as a personal assistant to the Managing Partner, providing proactive scheduling and calendar management.

Executive Support

  • Monitor, organize, and respond to emails on behalf of the firm owner as directed, ensuring timely communication.
  • Coordinate meetings, appointments, and travel arrangements.
  • Prepare correspondence, meeting agendas, and routine communications as needed.
  • Assist with special projects and confidential tasks at the discretion of the firm owner.


Desired Skills and Experience

  • Bachelorโ€™s degree in business, operations, or related field preferred
  • 3+ years of relevant experience, preferably in an accounting/bookkeeping or professional services setting
  • Strong organizational, communication, and project management skills
  • Familiarity with accounting or bookkeeping workflows and cloud-based software (e.g., QuickBooks Online, workflow management tools)
