Position Overview

The Medical Office Manager is the operational backbone of our clinic. This role requires an expert-level proficiency in Office Ally (including its billing, clearinghouse, and accounting functionalities) to manage our medical billing and administrative workflows. The ideal candidate is a self-starter who possesses exceptional interpersonal skills, strong clinical administrative experience, and the drive to maintain a highly productive and organized office environment during all operational hours.


Key Responsibilities

  • Office Ally Management & Accounting: Execute all aspects of Office Ally, including electronic claims submission, clearinghouse monitoring, payment posting, insurance aging reports, patient statements, and practice accounting/financial tracking.
  • Medical Billing & Data Entry: Perform accurate data entry for medical billing, ICD-10 coding verification, prior authorizations, and eligibility verification for major insurance payers (Regence, Premera, Kaiser, VA, Aetna).
  • Patient Scheduling & Coordination: Manage the clinic schedule, optimize appointment settings for medically necessary massage referrals, and coordinate patient intake documentation.
  • Front Desk & Patient Relations: Serve as the primary point of contact for patients and referring providers. Deliver exceptional customer service, manage multi-line phone systems, and address patient inquiries with professionalism and empathy.
  • Operational Leadership & Efficiency: Maintain overall clinic organization. Act as a self-starter by identifying and executing administrative tasks, inventory management, and operational improvements during clinical downtime.

  • Software Expertise: Must be highly proficient in all aspects of Office Ally, including medical billing, clearinghouse functions, and accounting/bookkeeping modules.
