Your Opportunity
We are seeking an experienced Document Controller to support a large, complex infrastructure design program in Austin, TX. This role is critical to maintaining the integrity, accessibility, and governance of project information across a multi-disciplinary team and multiple stakeholders. The ideal candidate brings a strong command of document control processes, attention to detail, and hands-on experience with Procore and SharePoint in a fast-paced project environment.
This is an opportunity to play a central role in delivering a landmark infrastructure project. You'll work alongside a high-performing team, contribute to establishing best-in-class project controls, and help ensure the successful delivery of a complex, high-visibility program.
Your Key Responsibilities
  • Maintain the project's document control system, procedures, and workflows
  • Manage the receipt, logging, distribution, and tracking of all incoming and outgoing project documentation
  • Ensure documents are properly classified, version-controlled, and stored in accordance with project and client requirements
  • Administer and maintain document management platforms, including Procore and SharePoint
  • Coordinate with engineering disciplines, project management, and external stakeholders to ensure timely document flow and approvals
  • Monitor and report on document status, including review cycles, approvals, and overdue items
  • Support configuration and enforcement of naming conventions, metadata standards, and filing structures
  • Maintain transmittal logs, document registers, and audit trails
  • Assist in onboarding team members on document control procedures and systems
  • Support audits and quality assurance processes related to document management

Your Capabilities and Credentials
  • 10+ years of document control experience on large infrastructure, transportation, or engineering projects
  • Demonstrated experience using Procore and SharePoint as document management systems
  • Strong understanding of document control principles, including versioning, workflows, and records management
  • Experience supporting multi-disciplinary design teams (civil, structural, systems, etc.)
  • High level of organization, accuracy, and attention to detail
  • Strong communication skills with the ability to coordinate across diverse teams
  • Experience with design-build or progressive design-build projects
  • Familiarity with ISO standards or formal quality management systems
  • Ability to develop and improve document control processes and workflows
  • Positive attitude, good energy, and proven passion.

Education and Experience
  • Education: Bachelor's degree required
  • Minimum of 10 years of related experience

You will work in an open-concept office setting. Local travel may be required for attending client or public meetings, scoping new assignments, and visiting project sites.

Pay Transparency: In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible. Actual compensation for part-time roles will be pro-rated based on the agreed number of working hours per week.
Benefits Summary: Regular full-time and part-time employees (working at least 20 hours per week) have access to medical, dental, and vision plans, a wellness program, health saving accounts, flexible spending accounts, 401(k) plan, employee stock purchase program, life and accidental death & dismemberment (AD&D) insurance, short-term/long-term disability plans, emergency travel benefits, tuition reimbursement, professional membership fee coverage and paid family leave. Regular full-time and part-time employees will receive ten paid holidays in each calendar year. In addition, employees will be eligible to accrue vacation between 10 and 20 days per year and eligible for paid sick leave (and if more generous, in accordance with state and local law).
Temporary/casual employees have access to 401(k) plans, employee stock purchase program, and paid leave, in accordance with state and local law.
