Job description

Position Title: Study Abroad Coordinator (Part-Time)

Reports To: Director, Spahr-Tan Center for International Education

Position Type: Non-Exempt

Position Summary:

The Part-Time Study Abroad Coordinator supports the daily operations of the Spahr-Tan Center for International Education, with a primary focus on study abroad advising logistics and program administration. This role assists with student engagement, application processing, and program coordination, helping ensure a smooth and organized experience for students participating in international education opportunities.

Key Responsibilities:

  • Manage and maintain student records in Via TRM, including applications, communications, and tracking tools
  • Coordinate advising logistics, including appointment scheduling and follow-up communication
  • Support student outreach through emails, reminders, and general communications
  • Provide pre-departure training sessions to prepare students for study abroad experiences
  • Collect, track, and maintain all required pre-travel student documentation
  • Guide students through the academic approval process for study abroad, including steps required for transfer credit evaluation
  • Coordinate with academic departments and advisors to support course approvals and credit transfer
  • Assist with planning and execution of orientations, scholarship workshops, and outreach events
  • Track and organize travel documentation and study abroad scholarship materials
  • Supervise and guide study abroad interns, including a social media intern
  • Provide front desk coverage and general administrative support

Qualifications:

  • Bachelor’s degree required; experience in higher education or student services preferred
  • Familiarity with study abroad programs or international education strongly preferred; prior participation in a study abroad program is a plus
  • Working knowledge of academic processes related to transfer credit preferred
  • Strong organizational and communication skills
  • Ability to work independently and manage multiple tasks
  • Proficiency with Microsoft Office and Google Workspace; experience with systems like Via TRM preferred
