Client Care Associate (CCA) - Dennis, MA (Part-Time)
Cape Cod Veterinary Specialists
Pay range: $18-$23/hour (commensurate with experience, schedule, credentials)
If you're an experienced customer service professional who thrives in a fast-paced environment and wants work that truly matters, join Cape Cod Veterinary Specialists (CCVS) in Dennis, MA. As a Client Care Associate (CCA), you'll be the first and last impression for clients during some of their most stressful moments-and an essential part of a team delivering gold-standard emergency and specialty care.
About the Role
Client Care Associates are the connection point between pet owners, referring veterinarians, and our medical teams. You'll help keep the hospital running smoothly through compassionate communication, organization, and accurate financial transactions-while supporting an exceptional client experience from check-in to check-out.
Schedule:
  • Part-time, typically 15-20 hours/week
  • Will be a combination of day and swing shifts, with weekend hours
  • May be required to work shifts in both Dennis and Buzzards Bay locations
  • Evenings/weekends and holiday rotation required
  • Initial training may include time at both Dennis and Buzzards Bay locations

What You'll Do
  • Greet and check in clients for emergency and specialty appointments
  • Schedule and confirm appointments
  • Answer and direct calls on a multi-line phone system
  • Create estimates/invoices, take deposits, and process payments
  • Scan documents and maintain accurate records in the EMR
  • Send medical records to referring veterinarians
  • Maintain a clean, organized front desk and lobby area
  • Respond with compassion and empathy in emotional, high-stress situations
  • Contribute to a supportive, positive team culture (mentorship encouraged)

Required/Preferred Qualifications
  • 1+ year veterinary hospital experience preferred (technician, liaison, CSR/CCA)
  • Open to the right person who is eager to learn and "gets it"
  • Strong customer service and communication skills
  • Ability to multitask, prioritize, and stay calm under pressure
  • Comfortable with computers (Word/Excel) and learning new software
  • Basic math skills for deposits and payment processing
  • Preferred knowledge of: ezyVet, SmatFlow(or similar), CareCredit
  • Professional, pleasant, engaged, and respectful with clients, referring DVMs, and teammates
  • Interest in learning additional hospital skills is a plus (opportunities to learn Veterinary Assistant skills if desired)
